Seasonal Administrative Assistant (Part-Time) Role Overview. This is a seasonal position with the potential to transition into a permanent part time role based on performance and business needs. We are seeking a reliable and detail‑oriented Administrative Assistant to support our Luxury Motorcoach Logistics team. This part‑time role plays a key part in ensuring smooth day‑to‑day fleet operations by assisting with scheduling, documentation, travel coordination, inventory management, and event preparation. The ideal candidate is organized, proactive, and comfortable juggling multiple priorities while providing excellent administrative support. Key Responsibilities Support coordination of coach pick‑ups, drop‑offs, cleaning, and stocking Assist with event preparation Purchase and manage rental insurance, including post‑trip deactivation Update trip itineraries and project management tools as information becomes available Assist with booking flights and hotel accommodations for contractors Support ordering and inventory management of contractor apparel Assist with managing coach registration documentation Coordinate special requested items with the Motorcoach Experience Team Track and inventory special requested items Assist with receiving deliveries and stocking coaches for charter trips Support occasional packing and shipping needs Qualifications Previous administrative or office support experience Strong organizational skills with the ability to multitask and prioritize Excellent communication and interpersonal skills Proficiency in Microsoft Office; CRM experience (HubSpot preferred) Ability to work independently and manage time effectively Familiarity with travel documentation and insurance processes is a plus Must be able to lift and carry up to 25 pounds as needed, with or without reasonable accommodation Pay Range: $20-$24/hour based on experience.
