Purchasing Specialist

Job Description

Core Functions:

• Bid Development and Enhancement, Chasing, and Completion:
  • Generate and send all supplier bids across all tours every yearly contracting cycle, meeting pricing process deadlines and ensuring brand standards are properly represented and bid structure allows for yield materialization reporting.
  • Chase outstanding bids to ensure 70% of tour cost is in by 1st pricing meeting.
  • Assist team with staging contracts for signature/completion.
• Alternate Hotel Management:
  • Track all Exceptions as they come in, maintain tour system updates, and advise PM and Purcho Assist in sending Alt Hotel bids
  • Keep track of covered Alt Hotels
  • Enter in Alt hotel info and advise yield
  • Update relevant green screens
• Pre-Post Pricing:
  • Fully responsible for pricing all pre and post stays.
  • Generate and complete pricing sheet for every pre/post hotel and tour; enter pricing into system; and send final package to Pre Post team.
  • Track status of complete Pre-Post program every contract year.
• Add Date Process:
  • Generate all date sheets/amendments to reflect the new/additional dates.
  • Track add date status in the prospecting and contracting phases.
  • Responsible for all communications with Yield.

Supplemental Functions:

• Process contract amendments
• General analytical support / on-demand reporting
• Invoice auditing and fund recovery
• Rate verification (meals, admissions, other published rates)
• Conduct motor coach specification surveys
• Tauck1.com & P9 support, assist partners with access.

Tauck1 Partner Events Project Manager Functions:

• Partner Event Management
• Manage overall bookings, guest lists, accommodations, transportation and receptions
• Manage supplier manifests and communication
• Coordinate supplier sponsorship, from initial ask to tracking, collection and processing of funds
• Manage all Q&A own and respond to all queries in TauckOne event email
• Assist in coordination of event communications, logistics, agendas and executive summaries, presentations, breakouts, general sessions, partner gifts, etc.

Global Operations Calendar Management:

• Manage global operations calendar and all team travel.
• Track all business travel including conferences, development, training, etc.
• Update and inform team of conferences and events.
