Property Administrative Assistant - Events and Amenity Property!!

Experienced Administrative Assistant looking for a career that engages with people, while learning property management? Seeking out a company that values their employees, while providing growth opportunity? This job is looking for YOU!! This position will be working for a direct building Owner/Manager. Commercial Property Management firm is looking for a Property Assistant who is a team player to join their team in San Jose! This is a great opportunity to work for a fun group of people as the company continues to expand! Company owns and manages several commercial properties in high-end Class A office. This position will support Class A Office building with 30-40 tenants, multiple amenities, and several events. Company provides amazing health coverage, potential for bonus, opportunities for growth, and excellent perks for their employees!! This position will have support a Property Manager who is willing to train and develop staff!

Responsibilities and Duties

  • Maintaining tenant and vendor relations
  • Communicating with tenants on various work order requests
  • Following up with vendors to ensure appropriate services provided
  • Processing tenant move-in and move-outs
  • Coding invoices
  • Coordinating vendor services
  • Following up on accounts receivable
  • Reviewing vendor bids and selecting contractors
  • Coordinating preventative maintenance
  • Gathering details for potential increases in vendor costs
  • Assisting with compiling information for yearly budgets
  • Coordinating tenant events
  • Ensuring certificates of insurance and business licenses are up to date
  • Assisting with various specialty projects

Qualifications and Skills

  • BA or BS degree
  • 2+ years in administrative field, any residential or commercial real estate experience IDEAL!!
  • Ability to work well with a team
  • Ability to work well under deadlines
  • Strong customer service skills
