Manager of Executive Services (Mays Cancer Center)

Job Description The Manager of Executive Services provides advanced administrative support to senior management and executives. The role oversees administrative activities and procedures, ensuring that resources like staff, equipment, and supplies are used effectively and economically. This position supports department leaders by managing office administration policies and activities to minimize disruptions to daily operations. The role is focused on managing processes and departments, not people. Responsibilities Manages daily office operations, including organizing services such as bookkeeping, records management, and facilities. Serves as a primary liaison between departments to ensure smooth operations. Prepares, drafts, and initiates a variety of documents and reports. Manages filing systems and maintains records. Handles all scheduling for appointments and meetings, including coordinating travel arrangements. Drafts agendas and meeting minutes. Prepares and submits requests for purchases, reimbursements, and other forms. Researches, evaluates, and recommends office supplies and equipment purchases to minimize costs and meet department operational needs. Screens and directs calls, visitors, and emails, resolving inquiries as needed. Acts as the first point of contact for departmental policy and procedure questions. Provides human resources support for department(s) or designated area(s) and acts as departmental liaison to Payroll, Human Resources, or other institution offices. Reviews work for exactness, neatness, and conformance to policies. Develops and implements administrative procedures and work standards to improve efficiency and workflow. Leads or assists with special projects and initiatives as assigned by senior management. Monitors department budgets and financial data, reviewing and reconciling reports to ensure accuracy. Ensures that departmental operations and administrative processes comply with relevant laws, regulations, and institutional policies. Performs all other duties as assigned. Qualifications Education: Bachelors degree in a related field is required. Strong skills in organizing, planning, and managing time. Excellent written and verbal communication skills. Ability to handle confidential information with discretion. Proficient with Microsoft Office Suite. Can work independently and make decisions about administrative processes. This position may require the ability to maintain the security and integrity of UT San Antonio and its infrastructure per Texas EO‑GA‑48.
