Executive Assistant CFS Brands is seeking to hire an Executive Assistant reporting to the Administrative Services Manager for the corporate offices located in Oklahoma City. This position will provide high-level administrative support to company executives by conducting research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling and preparing for meetings for executives. KEY RESULT AREAS: Maintains calendars, arranges meetings, makes travel arrangements, and interfaces with internal and external high-level customers, adjusting commitments to maximize leader’s time efficiency Plans, coordinates, and ensures the executive schedules are followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to executive’s time Plans multi-layered meetings, coordinates travel, composes correspondence and transcribes voicemails Processes invoices and travel and entertainment expense claims for team members. Ensures all policies are followed and items are processed within provided guidelines Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to successful completion, often with deadline pressure May help plan company events, meetings, and employee team building activities or special projects Assists Administrative Services Manager on special projects, as needed Performs related duties as directed EDUCATION / EXPERIENCE Bachelor’s Degree in business administration preferred 3+ year(s) experience in supporting senior level leadership required QUALIFICATIONS REQUIRED Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel) Keen understanding of the travel industry to facilitate fluid trip management Excellent written and verbal communication skills Able to concentrate on multiple problems/tasks at once Excellent time management and prioritization skills Flexibility and project coordination experience, sufficient to work independently and execute projects with minimal supervision TRAVEL REQUIRED Up to 15% travel, in support of corporate initiatives CFS Brands is committed to creating an inclusive work environment with a diverse workforce.
