Operations & Logistics Coordinator

Overview Our client is seeking a proactive and highly organized Operations & Logistics Coordinator to support executive leadership and oversee day-to-day warehouse operations. This role combines executive support, operational coordination, and cross-functional collaboration, suitable for someone who thrives in a fast-paced environment and balances strategic priorities with hands-on execution. Details Onsite · Direct Hire · Pay Rate: DoE · Schedule: Monday - Friday, 6 AM - 2:30 PM Job Summary This role sits at the intersection of management support and operational oversight. You will handle admin, coordination, and company-related matters across our entities including the US, and maintain a direct presence at our fulfillment warehouse, keeping operations on track and acting as the link between the floor and leadership. You should switch between management-level discretion and warehouse-floor pragmatism without missing a beat. Responsibilities Management & Admin Support : Managing schedules, travel, and correspondence; coordinating cross-entity admin tasks including matters related to our German and US legal entities; preparing documents, reports, and presentations for leadership; following up on action items and keeping leadership organized across ongoing projects; handling sensitive company matters with discretion. Operations & Warehouse : Coordinate incoming goods receipts, administrative tasks within the Warehouse Management System (WMS) provided by the logistics service provider; be the go-to contact for the warehouse team on day-to-day questions; monitor operations and flag issues; regular floor walks and operational quality checks (Gemba Walk & Gemba Checks); act as the liaison between the warehouse team and our Germany HQ; support the rollout of new operational processes and directives; report on operational status, problems, and improvement opportunities to management; Arbeitsanweisungen (creating Standard Operating Procedures); quarterly checks and review of the Return Fulfillment (3PL Partner), perform quality checks, and prepare reports. Qualifications 2–4 years of experience in a management support, operations, or coordination role - ideally with exposure to both executive support and logistics or warehouse environments High level of discretion and reliability when handling confidential matters Structured, proactive way of working - you anticipate needs rather than wait for instructions Clear communicator across all levels Comfortable navigating international business contexts, including cross-entity admin Valid driver’s license and willingness to travel to the warehouse regularly Fluent in English; German is a plus Our client offers a competitive compensation package as well as an excellent benefits package for eligible candidates.
