Administrative SpecialistAlter Behavioral Health is an adult mental health treatment provider with a network of upscale inpatient residential facilities in Orange County and San Diego. As an Administrative Specialist, you'll play a critical role in keeping operations organized, supporting executive initiatives, coordinating projects, and helping drive company-wide engagement efforts.This role is ideal for a highly organized, resourceful professional who thrives in a fast-paced environment, enjoys supporting leadership, and takes pride in keeping projects and operations moving forward.What You’ll DoAdministrative & Office OperationsServe as a central administrative resource for the Corporate Office and leadership teamGreet visitors, candidates, vendors, and staff in a professional and welcoming mannerCoordinate conference room scheduling, setup, supplies, and meeting readinessManage office supplies, vendor communication, and day-to-day office operationsCoordinate calendars, meetings, travel arrangements, and administrative logisticsPrepare meeting materials, take meeting notes, and distribute follow-up action itemsMaintain organized files, records, invoices, and confidential documentationExecutive & Leadership SupportProvide administrative support to executive and leadership team membersAssist with scheduling, correspondence, presentations, reports, and spreadsheetsCoordinate leadership meetings, agendas, and follow-up itemsPrioritize requests and assist with administrative workflow managementHandle confidential and sensitive information with professionalism and discretionSpecial Projects & Conference CoordinationSupport strategic initiatives, special projects, and company-wide programsAssist with conference planning, outreach, logistics, travel coordination, and event preparationTrack project timelines, deliverables, and follow-up itemsCoordinate vendor communications and event-related materialsSupport onsite event execution and post-event administrative follow-upEmployee Engagement & Internal CommunicationsAssist with employee recognition programs, internal events, and engagement initiativesSupport company announcements, newsletters, and internal communicationsCoordinate catering, supplies, and logistics for meetings, trainings, and office eventsContribute to culture-building and employee experience initiativesWhat We're Looking ForHighly organized with exceptional attention to detailStrong ability to manage multiple priorities and shifting deadlinesProfessional, adaptable, and solution-orientedExcellent written and verbal communication skillsStrong follow-through and project coordination abilitiesComfortable working independently while collaborating across departmentsAble to maintain confidentiality and exercise sound judgmentPreferred QualificationsBachelor's degree strongly preferred.Experience supporting executives, leadership teams, or special projectsExperience coordinating meetings, conferences, events, or company initiativesHealthcare, behavioral health, or mission-driven organization experience preferredExperience with Google Workspace, Asana, and project management toolsMinimum QualificationsBachelor's degree and 3–5 years of administrative, executive support, office operations, or project coordination experience preferredIn lieu of a degree, a minimum of 4+ years of progressive administrative experience requiredStrong proficiency in Google Workspace and calendar management systemsExcellent organizational, communication, and time-management skillsRequirementsValid California Driver’s License with a clean driving recordCPR & First Aid certification required (or ability to obtain prior to start)Must pass Live Scan fingerprint clearanceMust be legally authorized to work in the United StatesPhysical RequirementsProlonged periods of sitting, standing, and working on a computerOccasional lifting of office supplies or materials up to 25 poundsAbility to move throughout an office environment and assist with event setupComplianceEmployment is contingent upon:Successful Live Scan clearanceCompletion of required background screening and employment verificationCompliance with DHCS, DSS, Joint Commission standards, HIPAA, and applicable California employment lawsAt Alter Behavioral Health, your role behind the scenes helps power everything we do — supporting teams, strengthening culture, and enabling exceptional care.DISCLAIMER – This posting provides a general overview of the Administrative Specialist role at Alter Behavioral Health.
