ABOUT THE ROLE

Palmdale Oil Company is seeking a Marine & Export Assistant for a dynamic, dual-role position embedded within two of Palmdales most specialized and high-value business lines. This person will serve as the operational backbone for both the Marine and Export Division handling the administrative, documentation, and customer coordination work that keeps both divisions running smoothly. The right candidate thrives in a fast-paced environment, takes ownership of their work, and is energized by variety no two days look the same in this role. This position is an in-office position based out of Palm Beach Gardens office.

MARINE OPERATIONS SUPPORT

• Process and organize marine documentation, including delivery records, contracts, and compliance paperwork
• Prepare and manage new customer setup sheets; coordinate with credit and billing to establish accounts
• Provide customer service support and serve as a liaison between Marine and Export leaders, shipping agents, and marine clients
• Chase and follow up on outstanding marine invoices to support timely collections
• Serve as backup support for metric ton pricing calculations and pricing communication to customers
• Coordinate fuel sample management track sample locations across multiple sites
• Assist with administration and compliance tracking for municipal and government bid contracts, including monthly volume verification

EXPORT OPERATIONS SUPPORT

• Track and coordinate movement of ISO tanks; ensure accurate delivery to the correct overseas locations and enable growth targets for new tank placements
• Prepare and process all shipping and export documentation, including customs paperwork and international compliance forms
• Enter and process fuel orders for export transactions; oversee order accuracy and work alongside the dispatch team
• Support export billing activities via EDI (Electronic Data Interchange); ensure documentation accuracy and timeliness
• Assist with land-based proposals and new customer account setup sheets as Palmdale grows its Florida marine and land-based client base
• Provide customer service support for export clients and international partners
• Assist with credit oversight for export accounts monitor payment status, flag aging items, and coordinate with the billing team

WHAT WE'RE LOOKING FOR

• 2+ years of experience in logistics, marine operations, export operations, fuel distribution, or a related field preferred
• Strong organizational skills with the ability to manage multiple priorities across two departments simultaneously
• Excellent written and verbal communication skills; comfortable working with customers, agents, and internal teams
• Proficiency in Microsoft Office (Excel, Word, Outlook); experience with EDI systems or fuel/logistics platforms a plus
• Ability to work independently and exercise good judgment in a dual-reporting structure
• Detail-oriented and deadline-driven particularly important for fuel sample management xhqgsiq and contract compliance tracking
• Familiarity with marine fuel, ISO tank logistics, or government contracting is highly desirable but not required
