The Opportunity
Synaptic Management Inc. is seeking a strategic Senior Corporate Paralegal to establish a centralized legal operations function across its portfolio of affiliated companies. The current portfolio includes:- Synaptic Management Inc.
- Dynamic EcoHome
- Synaptic Pediatric Therapies
- All American Flooring
- Build one organized legal operations function supporting all current and future companies within the Synaptic portfolio.
- Serve as the central point of coordination for contracts, disputes, pre-litigation matters, corporate records, and outside-counsel activity.
- Identify risks, missing information, stalled matters, and required decisions before they become larger problems.
- Present leadership with concise matter summaries, priorities, options, and recommended next steps.
- Improve communication and follow-through between company leadership, internal teams, and retained attorneys.
- Maintain visibility into every active legal matter, deadline, responsible party, next action, and associated cost.
- Track legal work and expenses by company to support fair allocation across the portfolio.
- Develop and manage the organization's legal intake, review, prioritization, and escalation processes.
- Evaluate incoming legal matters and determine what information, documentation, internal action, or outside-counsel involvement is required.
- Maintain a centralized dashboard of open matters, owners, deadlines, risk levels, costs, and next actions.
- Prepare concise executive updates identifying exposure, stalled items, required decisions, and recommended priorities.
- Establish consistent meeting and follow-up cadences between leadership, internal stakeholders, and outside counsel.
- Hold responsible parties accountable for providing information and completing agreed-upon actions.
- Create repeatable legal processes that can scale as additional companies are added to the portfolio.
- Serve as the primary day-to-day liaison between the CEO, company leaders, internal departments, and retained attorneys.
- Prepare complete, organized matter files before engaging outside counsel.
- Provide attorneys with contracts, communications, timelines, records, evidence, and clear summaries of the business issue.
- Coordinate meetings, decisions, document requests, deadlines, and follow-up items.
- Monitor outside-counsel activity and invoices for progress, responsiveness, alignment, and cost control.
- Escalate matters requiring legal advice, attorney judgment, negotiation, or representation.
- Ensure attorney recommendations are communicated clearly and implemented by the appropriate internal stakeholders.
- Manage the internal lifecycle of claims, disputes, complaints, demand letters, and potential litigation matters.
- Collect and preserve contracts, communications, financial records, project files, photographs, employee records, and other supporting evidence.
- Build matter summaries, timelines, factual records, and exposure assessments for leadership and retained counsel.
- Coordinate responses, insurance notices, settlement documentation, and outside-counsel assignments.
- Track commitments, deadlines, payments, responses, and escalation points through resolution.
- Identify recurring issues and recommend process improvements that reduce future exposure.
- Coordinate the review, revision, approval, execution, and storage of commercial agreements, vendor contracts, service agreements, releases, and settlement documents.
- Prepare initial contract drafts and revisions using approved templates and attorney guidance.
- Identify missing terms, inconsistent provisions, unusual obligations, and issues requiring attorney review.
- Maintain approved templates, contract standards, renewal dates, notice requirements, and execution records.
- Support business transactions, due diligence, document collection, closing requirements, and post-closing obligations.
- Track contractual commitments and ensure the appropriate business leaders understand their responsibilities.
- Maintain entity records, organizational documents, registrations, resolutions, ownership records, and governance calendars.
- Coordinate entity formations, amendments, restructuring projects, acquisitions, and related filings with leadership and retained counsel.
- Organize and maintain accurate corporate records across the Synaptic portfolio.
- Incorporate newly formed or acquired companies into the organization's legal operations processes.
- Coordinate specialized employment, healthcare, construction, consumer, real estate, or regulatory matters with qualified outside counsel.
- Track legal matters, time, and expenses by company.
- Review outside-counsel invoices for accuracy, matter assignment, and progress.
- Ensure legal costs are allocated to the appropriate operating company.
- Provide leadership with visibility into legal expenses, trends, and potential cost-saving opportunities.
- At least seven years of corporate, transactional, litigation, or legal operations experience.
- Significant experience working directly with attorneys, executives, and business leaders.
- Proven ability to manage complex legal matters with limited day-to-day direction.
- Experience in preparing legal documents, executive summaries, timelines, and organizing matter files.
- Strong understanding of contracts, pre-litigation processes, corporate governance, confidentiality, privilege, and attorney supervision.
- Paralegal certificate, bachelor's degree, or an equivalent combination of education and relevant experience.
- Experience supporting a multi-entity organization is strongly preferred.
- Experience in home services, construction, healthcare, employment, consumer services, flooring, or other operationally complex industries is preferred.
- Familiarity with Texas business and legal processes is strongly preferred.
- Assertive, decisive, and comfortable taking ownership.
- Proactive about identifying risks, missing information, and stalled matters.
- Comfortable holding leaders and internal stakeholders accountable for deadlines and follow-up.
- Able to prioritize competing matters without waiting for constant direction.
- Confident in communicating directly with executives and attorneys.
- Skilled at translating complicated legal matters into concise business language.
- Organized enough to manage detailed records while remaining focused on the larger business objective.
- Comfortable working across multiple companies, industries, and leadership teams.
- Able to challenge incomplete thinking, ask direct questions, and recommend a path forward.
- All active legal matters are centralized with documented owners, deadlines, risk levels, next actions, and supporting records.
- Leadership has a reliable dashboard showing open matters, exposure, spend, and required decisions.
- No material legal deadline is missed.
- Outside counsel receives complete, organized information that reduces unnecessary research and attorney time.
- A consistent legal intake, prioritization, escalation, and follow-up process is operating across the portfolio.
- Contract templates, approval workflows, and document-retention standards are documented and in use.
- Legal expenses are tracked and allocated accurately by the company.
- Corporate records for each affiliated company are organized, up to date, and accessible.
- A repeatable process exists for incorporating future companies into the centralized legal operations function.
- Report directly to the CEO and contribute to high-level business decisions.
- Serve as the strategic legal operations partner across a diverse portfolio of growing companies.
- Build the systems and standards that will support the organization's continued expansion.
- Take ownership of matters with direct operational, financial, and risk impact.
- Work three days per week in a high-visibility role with meaningful responsibility and long-term organizational value.
