Staff Assistant

The Florida Commission on Offender Review is looking to fill the Staff Assistant position. The Commission on Offender Review performs a vital role in Florida's criminal justice system by preserving the autonomy needed in post-release decisions affecting inmates and ex-offenders. Commissioners preside over weekly meetings at the central office in Tallahassee and various other state locations as required by statute. During these public proceedings, the commissioners make a variety of determinations regarding parole and other releases.

The staff assistant performs varied and extremely confidential work regarding revocation, parole interviews, clemency investigations and other work related to the Commission. Duties include but are not limited to assisting the Regional Administrator and other staff with the daily operations of the Region.

Examples of work include answering the telephone; responding to e-mail inquiries; typing, proofreading, and distributing completed reports and documents; coordinating budget information; coordinating staff meetings and taking meeting minutes, maintaining filing systems, and purging records in accordance and retention schedules. Receiving and processing incoming and outgoing mail, screening correspondence and other materials to determine proper handling. Processing incoming bills/invoices in accordance with the State of Florida Prompt Payment law. Maintaining office logbooks to be assigned and completed by investigators. Preparing routine correspondence for the Regional Administrator; responding to routine requests for information from the public; and assisting with the organization of the Regional Administrator's records and work files. Running FCIC/NCIC criminal history and driver license reports. Performing research, preparing reports and briefing the Regional Administrator or other staff regarding the requested information. Maintaining an updated library of administrative rules, procedure directives, legal opinions, Florida Statutes, agency policies, and other information issued by the Agency Head, Director of Operations, Regional Administrator, and any other policymaker as appropriate; and assisting staff in researching and locating information from these sources. Performing other duties as required.

Knowledge of administrative principles and practices. Knowledge of standard business formats and styles for letters and business forms. Knowledge of correct spelling, punctuation, and grammar usage. Knowledge of proper telephone etiquette techniques. Skill in using personal computers to compose letters, memoranda, and reports. Ability to understand and apply applicable rules, regulations, policies, and procedures. Ability to communicate effectively, verbally, and in writing. Ability to type letters, memoranda, and other standard business forms in correct format.

High school diploma. As part of the interview process, a work sample may be required. Background screening requirement: any applicant being considered for employment must successfully complete a State and National criminal history check as a condition of employment before beginning employment, and be screened in accordance with the requirements of Chapter 435, F.S., and, if applicable, Chapter 408, F.S. No applicant may begin employment until the background investigation results are received, reviewed, and approved by the Commission. Background investigations shall include, but not be limited to, fingerprinting for State and Federal criminal records checks through the Florida Department of Law Enforcement (FDLE) and Federal Bureau of Investigation (FBI) and may include local criminal history checks through local law enforcement agencies. Also, employees are subject to background re-screening at least every five (5) years.
