Bookkeeper/Controller Trainee (Commercial)

Summary: Looking for an experienced bookkeeper who wants to be trained over a year to be a controller.

Industry: Commercial Renovation & Construction

Location: Tallahassee, FL

Compensation: Annual FT salary of $60,000-75,000, built-in bonus structure, and benefits package (see below)

$100,000 or more following the successful completion of controller training and subsequent promotion

Hours: Full time, 40-45 hours a week, typically Monday - Thursday (8-5) and Friday (8-2)

Summary of Qualifications:

• Bachelor’s degree in Accounting, Finance, or other business-related fields (required)
• Three-five years of professional experience in bookkeeping
• Construction accounting or construction-office experience (preferred but not required)
• Ability to pass a drug and criminal background check
• Valid driver's license

About this position:

The ideal candidate will be someone who understands accounting beyond basic data entry and is comfortable taking ownership of A/P, A/R, reconciliations, bookkeeping, HR administration, payroll support, and insurance documentation.

We’re seeking someone who is proactive, accountable, and highly organized, with the ability to maintain accurate financial and employee records while supporting the daily administrative operations of a busy construction company.

Essential Functions of the Bookkeeper:

• Print checks for vendors/subs
• Check emails/respond as needed
• Reconcile sub/vendor payments with contracts/statements
• Pay monthly overhead bills, suppliers
• Review job cost reports/payables to ensure correct posting to PO’s subcontracts, etc.
• Post receivables/take deposits to bank/save to job folder
• Invoicing for Specialized Projects, small jobs, feasibility/pre-con 
• Review AP invoice entry for posting
• Track builders' risk on projects
• Review/maintain company insurance documents and assist with information needed for renewals
• Respond to annual insurance audits as required; oversee collection and retainment of subcontractor insurance certificates
• Certified payroll for Davis Bacon projects as needed
• Maintain vendors and customers in PT

Controller Trainee Track

After 90 Days - Training for Level 1 Controller will commence

• Send check list to bank after printing checks
• Review AR pay apps & post
• AR collections
• Respond to requests for financial documents, company information, etc.; vendor credit applications to open new accounts
• Send reminders for PM’s to review/approve AP invoices and timesheets in PT

After 6 months - Training for Level 2 Controller will commence

• GA withholding monthly payment – PT PR report QS-10
• Sales Tax monthly filing
• Monthly Company Report
• Biweekly Open Jobs Report
• Weekly Cash Flow Report to owners – Monday
• Create new jobs in Power Tools JCPM after receipt of signed client contract
• Maintain WIP and financial statements
• Review company credit card transactions and reconcile/post/pay statements
• Job closeout in JCPM/accounting
• Maintain health insurance employee deductions/cancellations/enrollments
• Health insurance open enrollment
• Link customers to jobs in accounting when setting up new jobs
• Maintain employees in JCPM for job access, etc
• ACH transactions to pay subcontractors
• Training as needed for JCPM for new employees
  

After 9 months - Training for Level 3 Controller will commence

• Check bank account daily for ACH deposits, etc.
• Review job budgets for proper item codes
• Process biweekly payroll
• Set up new employees in PR
• Maintain HR files
• Maintain company document retention/archiving of documents/scheduled purging
• 401k management/biweekly deposits/enrollment
• Maintain vacation requests and deduct from PTO balance as necessary
• Document employee increases/changes in PR system
• Quarterly PR filings: UCT-6, Form 940 deposit; Form 941, GA WH
• Annual PR filings: W-2’s, Form 940, 1099’s, 401k Form 5500
• Assist with annual budget preparation; enter and maintain in PT accounting

Requirements

The ideal candidate is someone who:

• Bachelor’s degree in Accounting, Finance or other business-related fields (required).
• Minimum of three-five years' professional accounting experience (required)
• Construction accounting or construction-office experience (preferred but not required)
• Strong knowledge of Accounts Payable, Accounts Receivable, and account reconciliation
• HR and payroll experience preferred
• Strong Microsoft Excel and computer skills
• Excellent organizational and communication skills
• Ability to handle confidential employee and financial information
• Strong attention to detail and ability to identify accounting discrepancies
