The specialist sits on the purchasing team and works under a purchasing team lead, partnering with requesters, suppliers, finance colleagues, and operations contacts. This fully remote, desk-based role is based in New York, United States, and is performed work from home. The role requires a 40-hour weekly commitment. Working days and shift times may vary. Clear written updates, careful review, and consistent follow-through help maintain dependable purchasing workflows.

Job Responsibilities

• Review incoming buying requests from shared queues, email messages, and internal system tasks, confirming that item descriptions, quantities, timing, and requester details are complete.
• Enter approved purchasing details into an enterprise resource planning system such as SAP S/4HANA, maintaining clear notes that explain request status and next actions.
• Prepare and send supplier requests for pricing, availability, lead times, and item details using established purchasing procedures and approved communication templates.
• Compare supplier responses against requested specifications, quantities, delivery expectations, and available information, then summarize differences for the purchasing team.
• Create purchase orders after required internal review is complete, ensuring supplier names, item details, prices, and delivery information entered consistently.
• Track open orders and supplier acknowledgments in spreadsheets and data entry such as LibreOffice Calc, updating status information for internal requesters.
• Follow up with suppliers when responses, acknowledgments, or delivery updates are missing, unclear, or delayed beyond expected timing.
• Route pricing discrepancies, unavailable items, supplier concerns, and exceptions to the purchasing team lead with concise background notes and supporting details.
• Respond to routine requester questions about order status, supplier updates, and purchasing steps, referring complex requests to the appropriate team contact.
• Maintain organized electronic order notes and supplier communications, with quality judged by accuracy, turnaround, complete notes, and timely follow-up.

Qualifications

• High school diploma or equivalent.
• About 1-2 years of purchasing, supplier coordination, order support, or related experience preferred.
• Familiarity with supplier requests, pricing comparisons, order status updates, and basic purchasing workflows preferred.
• Ability to use an enterprise resource planning system such as SAP S/4HANA and spreadsheets and data entry such as LibreOffice Calc.
• Ability to review item descriptions, quantities, supplier details, and delivery information carefully before entering updates.
• Clear written communication for supplier outreach, internal status updates, and escalation notes.
• Ability to manage several open purchasing tasks while maintaining organized priorities and dependable follow-through.
• Reliable computer, high-speed internet, and a quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
• Authorization to work in the United States.
