Job Description - Long Term Care Skilled Facility
Position Summary

The Clinical Staffing Coordinator is responsible for ensuring the optimal scheduling and coordination of nursing staff to meet the clinical needs of residents in a long term care skilled facility. This position collaborates with nursing leadership and human resources to maintain adequate staffing levels, manage shift assignments, and support compliance with regulatory requirements. The Clinical Staffing Coordinator plays a key role in promoting staff satisfaction, continuity of care, and quality outcomes for residents.
Key Responsibilities
• Develop and manage daily, weekly, and monthly nursing staff schedules to maintain appropriate coverage for all shifts, in accordance with facility standards and regulatory guidelines.
• Monitor and adjust staffing levels in real time to address call-offs, absences, and census changes, ensuring continuity of resident care.
• Serve as the primary point of contact for staff regarding scheduling issues, time-off requests, shift swaps, and related concerns.
• Collaborate with the Administrator, Director of Nursing and Human Resources to recruit, onboard, and orient new clinical staff as needed.
• Maintain accurate records of staff assignments, attendance, overtime for payroll and reporting purposes.
• Assist in monitoring and ensuring compliance with federal, state, and local staffing regulations and facility policies.
• Participate in staff meetings and quality improvement initiatives aimed at enhancing staffing efficiency and resident care outcomes.
• Communicate effectively and professionally with staff, residents, families, and interdisciplinary team members.
• Must keep a log of all staff contacted for open positions before filling the position themselves.
• Maintain efforts to limit overtime by sharing open positions evenly amongst staff.
Qualifications
• High school diploma or equivalent required; nursing degree preferred.
• Previous experience in healthcare staffing, scheduling, or administrative support, ideally in a long term care or skilled nursing environment.
• Knowledge of state and federal staffing requirements for skilled nursing facilities.
• Strong organizational and problem-solving skills with the ability to prioritize and multitask in a fast-paced environment.
• Excellent communication and interpersonal skills.
• Proficiency with scheduling software, Microsoft Office Suite, and electronic health record (EHR) systems.
• Ability to maintain confidentiality and handle sensitive information with professionalism.
Working Conditions
• Full-time position; may require occasional evening, weekend, or holiday hours depending on facility needs.
• Primarily on the floor within the long term care facility.
• Fast-paced environment with frequent interruptions and shifting priorities.
Physical Requirements
• Ability to sit, stand, and walk for extended periods.
• Manual dexterity to operate office equipment and perform computer work.
• Occasional lifting (up to 25 lbs) may be required.
