Recruiting Coordinator

Black Bear Talent is seeking a part-time Recruiting Coordinator to support our recruiters, Business Development team, candidates, clients, and new hires. This role combines front-office support, candidate coordination, and new-hire onboarding. It is not a full-cycle recruiting position. The right person will bring recruiting experience, a consistent work history, and the organization and follow-through needed to keep each step moving.

Schedule and position status: This position will be scheduled Monday - Friday. It will begin as a part-time role and convert to full-time in Spring 2027.

Responsibilities

• Answer calls, greet visitors, respond to inquiries, and help maintain an organized, professional office.
• Review applications in the Applicant Tracking System (ATS), identify candidates whose experience aligns with open roles, and assist with phone screens.
• Coordinate interviews and communicate with candidates, hiring managers, clients, recruiters, and Business Development.
• Initiate and track new-hire paperwork, Form I-9 documentation, background checks, drug screens, and client-specific onboarding requirements.
• Follow up on incomplete requirements and keep the appropriate team members informed of onboarding status.
• Confirm each new hire’s start date, time, reporting location, contact information, dress requirements, and any parking or check-in instructions.
• Maintain accurate ATS, onboarding, and employee records while handling confidential information appropriately.
• Provide general administrative support, including document organization, employment verifications, and office tasks as needed.

Required Qualifications

• At least five years of administrative assistant or comparable professional office experience.
• At least two to three years of recruiting, talent acquisition, candidate coordination, or related human resources experience.
• Experience coordinating job fairs or similar recruiting events.
• A consistent work history that demonstrates tenure and follow-through.
• An associate degree in Human Resources or equivalent related experience.
• Strong written and verbal communication skills, including professional communication by phone, email, text, and in person.
• Strong computer skills and the ability to learn new systems.
• Excellent organization, attention to detail, and the ability to manage multiple priorities and deadlines.
• Ability to maintain confidentiality and work independently while supporting a team.
• Ability to pass a pre-employment background check and drug screen.
• Experience with ATS software, Microsoft Office and Outlook, I-9 documentation, and coordinating background checks or drug screens is required.
