Intake Coordinator (On-site)

Job Description

This is an on-site role in our downtown Seattle office . Reed Longyear is seeking an organized, empathetic, and detail-oriented Intake Coordinator to be the first point of contact for prospective clients. Providing regular coverage for our receptionist is also a core responsibility of this position.

Responsibilities include:

\n

\n
• Serve as the initial point of contact for prospective clients via phone, email, and website inquiries
\n
• Conduct preliminary client interviews to obtain relevant information regarding legal issues, case background, and potential representation
\n
• Input and maintain accurate and confidential client information in the case management system
\n
• Coordinate and schedule client consultations with attorneys
\n
• Follow up with potential clients as needed to complete the intake process or provide updates
\n
• Provide full front desk coverage whenever the receptionist is on meal breaks or absent
\n
• Maintain knowledge of the firm’s practice areas and communicate services clearly to prospective clients
\n
• Ensure high-quality customer service and represent the firm in a professional and compassionate manner
\n
• Collaborate with attorneys, paralegals, and administrative staff to support overall case management

Qualifications:

\n

\n
• Excellent interpersonal and communication skills, both verbal and written
\n
• Strong organizational skills with attention to detail and the ability to multitask
\n
• Bachelor’s Degree or Associate’s Degree
\n
• At least one year of experience in legal intake, client services, or a similar role in a law firm or professional services environment strongly preferred
\n
• Familiarity with legal processes and terminology is a plus
\n
• High degree of professionalism, discretion, and empathy when dealing with sensitive client matters
\n
• Proficient in Microsoft Office Suite (legal case management software is a plus)
\n
• Ability to work independently and as part of a team in a fast-paced environment
\n

Compensation Range : $50,000-$65,000 Annually
