Administrative Assistant Behavioral Support Services-Part Time

DESCRIPTION

Administrative support for the department of Behavioral Support Services, acting as the primary point of contact for clients. Key responsibilities include greeting clients, scheduling appointments, processing billing/insurance, and handling office correspondence.

• Manages and update therapy session schedules for clients and Registered Behavior Technicians (RBTs) to ensure consistent service delivery
• Supports clinical teams with documentation and program information
• Monitors claims, processes authorizations and assists with insurance verification
• Maintains accurate records, including inventory management
• Answers phones and maintains a professional, welcoming environment

This role requires strong organizational skills, proficiency in office software, and the ability to maintain confidentiality in a fast-paced environment.

Required Skills & Qualifications

• Experience: Previous experience in healthcare, behavioral health, or clinical administration is highly preferred.
• Technical Proficiency: Strong command of MS Office (Word, Excel, PowerPoint) and experience with scheduling software or Electronic Health Records (EHR).
• Communication: Exceptional verbal and written communication skills to effectively bridge the gap between clinical staff, families, and insurance providers.

Soft Skills : High attention to detail, ability to multitask in a fast-paced setting, and a strong understanding of maintaining client privacy and confidentiality.


QUALIFICATIONS:

WORKING EXPECTATIONS:

• Staff will always exercise professionalism in the presence of participants, visitors, and other staff. Staff will ensure that all activities and conversations are always geared toward what is appropriate.


• To ensure quality of services provided, staff are expected to receive a rating of 20 (meets expectation) or higher on all performance reviews. Scoring under 20 will result in the staff member being placed on a 1-3-month probation until the level of quality is improved or termination may result.

REQUIREMENTS

• High school diploma or equivalent; Associate's degree preferred, 1+ years of experience in an administrative or office support role, Strong organizational and multitasking skills, Excellent verbal and written communication abilities, Proficient with Microsoft Office Suite and Google Workspace
