Senior Payroll Manager

Position Summary Machinify is seeking an experienced Senior Payroll Manager to provide ownership and leadership for our end-to-end payroll operations. In this role, you will ensure accurate, compliant, and timely payroll execution across a growing, multistate workforce of 3,000+ employees while driving continuous improvement, audit readiness, and operational excellence. What You'll Do Payroll Leadership & Accountability Own end-to-end biweekly and semimonthly payroll operations for all employees, ensuring accurate and compliant execution in accordance with company policies and applicable laws. Maintain responsibility for payroll outcomes, including accuracy, timeliness, and employee experience. Serve as the primary escalation point for complex payroll inquiries, variances, corrections, and off-cycle payments. Oversee the accuracy and maintenance of employee payroll records. Compliance, Risk & Controls Ensure compliance with all federal, state, and local payroll tax laws, wage and hour regulations, and multistate requirements. Oversee payroll tax filings, reconciliations, and coordination with external payroll and tax vendors. Compile, monitor, and maintain prevailing wage documentation and reporting. Own payroll-related internal controls, documentation, and audit readiness. Lead payroll participation in internal audits, external audits, and year-end close activities. Team Leadership & Development Lead, mentor, and develop the payroll team, fostering a culture of accountability, accuracy, and continuous improvement. Establish clear expectations, service standards, and performance goals. Ensure proper training, workload management, and knowledge sharing across the payroll function. CrossFunctional Partnership Partner closely with Human Resources and Accounting to ensure payroll inputs, benefit deductions, reconciliations, and reporting are accurate and aligned. Provide clear, professional support to field and office staff regarding payroll-related questions and concerns. Communicate payroll impacts, risks, and trends to leadership with clarity and confidence. Process Improvement & Scalability Evaluate payroll workflows, systems, and controls to identify opportunities for efficiency, standardization, and automation. Lead special payroll initiatives and continuous improvement efforts as the organization grows. Ensure payroll processes are well-documented, scalable, and audit-ready to support future growth and organizational changes. What You Bring Required Qualifications Experience overseeing payroll operations in a complex organization. In-depth knowledge of payroll compliance, including tax laws, wage and hour regulations, and reporting requirements. Hands-on experience with multistate payroll for salaried and hourly populations. Direct experience with prevailing wage reporting and compliance. Proven people leadership experience within a payroll function. Strong working knowledge of Microsoft Office tools, including Excel, Word, and Outlook. Exceptional attention to detail with the ability to balance hands-on oversight and strategic leadership.
