Dispatcher / Delivery Routing Coordinator

Ricoh is seeking a detail-oriented and organized Truck Dispatcher / Delivery Routing Coordinator to coordinate product deliveries from the distribution center to customers and manage the return of used equipment. The ideal candidate will have experience in truck dispatching, route planning, customer service, and administrative support. This role requires proficiency in Microsoft Excel and Outlook, strong communication skills, and the ability to multitask in a fast-paced office environment. Experience with Oracle, Descartes, or Kofax is a plus.

Key Responsibilities

• Coordinate product deliveries from the distribution center to customers and arrange the return of used equipment.
• Create efficient truck routes and trip sheets to balance driver workloads, delivery schedules, and shipping costs.
• Update delivery systems with accurate shipping information and maintain order records.
• Use Oracle to update delivery information, enter notes, ship-confirm orders on delivery dates, and maintain documentation in the Oracle Repository.
• Prepare and print bills of lading and other required shipping documents.
• Monitor truck estimated times of arrival (ETAs) and communicate delivery updates to customers and internal teams.
• Send delivery notifications to the Order Processing team and email marketplaces with the following day's delivery schedules.
• Review, run, and close open-order reports to ensure orders are processed accurately and on time.
• Contact customers before deliveries when necessary and provide delivery time frames and authorization information.
• Coordinate truck route scheduling and rescheduling when delivery requirements or circumstances change.
• Request certificates of insurance and ensure the necessary shipping documents are completed and signed.
• Communicate with Sales, Order Processing, delivery drivers, customers, and third-party carriers to resolve delivery-related issues.
• Arrange service calls and coordinate with appropriate teams to address customer or delivery concerns.
• Identify customer needs, respond to inquiries, and direct requests to the appropriate departments.
• Provide backup support to the Senior Dispatcher when required.
• Support multiple business channels and perform additional duties as assigned.

Required Qualifications

• High school diploma or equivalent.
• At least one year of customer service experience.
• Previous experience in dispatching, truck routing, delivery coordination, logistics, or transportation scheduling preferred.
• Proficiency in Microsoft Excel and Outlook.
• Basic computer skills and 10-key data entry proficiency.
• Strong organizational, communication, and multitasking skills.
• Ability to review spreadsheets, interpret data, maintain accurate records, and prepare shipping documentation.
• Strong attention to detail and the ability to work independently in an office environment.
• Ability to manage changing priorities and coordinate schedules effectively.

Preferred Qualifications

• Experience with Oracle, Descartes, or Kofax.
• Experience updating delivery management systems and maintaining shipping records.
• Familiarity with bills of lading, trip sheets, shipping documentation, and order processing.
• Experience coordinating delivery schedules and communicating with customers, drivers, and third-party carriers.
