Export Documentation SpecialistThe Export Documentation Specialist is responsible for preparing and managing all export documentation to ensure compliance with U.S. and international trade regulations. This role will coordinate shipments, including hazardous materials (Hazmat), and maintain accurate records for audits and regulatory requirements.Duties And ResponsibilitiesPrepare and review export documentation, including commercial invoices, packing lists, bills of lading, customs declarationsManage Hazmat shipping documentation in compliance with DOT, IATA, IMDG regulationsEnsure shipments meet international trade regulations, customs requirements, and company policiesWork with freight forwarders, carriers, and logistics providers to arrange transportationMaintain accurate records of shipped goods and update inventory systemsCommunicate with sales and customers to verify accuracy of shipping instructions and ensure adherence to customer and regulatory requirements to ensure timely deliveryAddress shipping delays, documentation errors, or customs issues promptlyMaintain export records for internal audits and government reportingMonitor regulatory changes and update processes accordinglySupport internal teams with export compliance training and guidanceQualificationsHigh school diploma or equivalent (logistics or supply chain certification preferred)3+ years in export documentation and international shipping.Proven experience with Hazmat shipping regulations (DOT, IATA, IMDG).Hazmat/Dangerous Goods certification preferred.Data entry with Ten-KeyKnowledge, Skills & AttributesStrong knowledge of EAR, ITAR, and ECCN classification.Proficiency in MS Office and ERP systems.Excellent attention to detail and organizational skillsAbility to work independently, manage multiple priorities and meet strict deadlinesStrong communication skills for cross-functional coordinationPhysical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
