Assistant Service Manager

Job Summary Assist the service manager in maintaining accurate, on-time reports and records relative to the service department’s operations, thus resulting in internal and external customer satisfaction and profitability. Help grow service labor sales and control expenses. Essential Duties and Responsibilities

• Daily maintenance of time cards, warranty claims, and credits
• Opens work orders as directed by the Service Manager and maintain open work orders using equipment, hours, technicians, repair work and any other information needed
• Reviews all work orders for accuracy and completeness before submitting to the service manager for final review
• Directs incoming service related inquiries and scheduling requests to the service manager
• Work with the Service Manager in all aspects of the service department
• May fill in for the Service Manager in the Service Manager’s absence
• Maintains all filing and records for the service department
• Keeps necessary supplies on hand and reorders when needed
• Prepares customer invoices and takes payments when presented to the service office
• Represents VanWall Equipment with a professional and positive attitude. Strives to protect the dealership image in a positive light while promoting customer loyalty
• Reports any internal or external customer complaints to the Service Manager
• Consistently strive to improve knowledge and skills in order to stay up-to-date with industry trends
• Maintain confidentiality with internal and external information
• Be able to submit, track and resolve warranty claims
• Must obtain core training through JDU and keep it in good standing by continuing education with a minimum of one Q-Diagnostic class every 5 years

Position Qualifications

• Possess basic knowledge of accounting practices and financial principles relative to the Service Departments
• One year or more experience with service writing a plus
• Ability to use standard desktop applications such as Microsoft Office, Excel, and Internet Functions
• General understanding of mechanical & technical terms
• Knowledge of office procedures
• Ability to speak effectively one on one and in a group
• Familiar with John Deere and competitive products
• Maintain a positive attitude, be a team player and provide leadership within the Service Department
• Complete all duties as assigned
• High School Diploma or equivalent required
