Primary Responsibilities

Accounting and reporting

• Assist with accounts payable, invoice entry and departmental coding.
• Prepare deposits and maintain supporting documentation.
• Assist with member billing and account inquiries.
• Maintain accounting spreadsheets and supporting schedules.
• Help reconcile invoices, vendor statements and purchasing records.
• Prepare daily, weekly and monthly operating reports.
• Track budget-versus-actual results and departmental expenses.
• Support month-end closing and other Controller requests.
• Organize accounting files and maintain accurate records.

Human-resources support

• Maintain confidential employee personnel files.
• Assist with onboarding paperwork, including I-9s, W-4s and required acknowledgments.
• Track attendance, PTO, employee documents and training records.
• Assist with timekeeping and payroll-report preparation.
• Maintain employee contact lists and personnel information.
• Help coordinate job postings, interviews and new-hire orientation.
• Support employee events, meetings and administrative communications.

General administration

• Provide administrative support to the General Manager and Controller.
• Prepare correspondence, spreadsheets, presentations and reports.
• Answer phones and assist employees, members and vendors professionally.
• Maintain organized electronic and paper filing systems.
• Perform other administrative duties as assigned.

Required Qualifications

• Strong proficiency in Microsoft Excel, including formulas, sorting, filtering, PivotTables and report formatting.
• Ability to prepare clear, accurate and professional management reports.
• Working knowledge of Microsoft Word, Outlook and related office programs.
• Previous administrative, bookkeeping, accounting or HR-support experience.
• Strong attention to detail and organizational skills.
• Ability to handle confidential financial and employee information.
• Effective written and verbal communication skills.
• Ability to meet deadlines and work independently.

Preferred Qualifications

• Experience with accounting, payroll, point-of-sale or club-management software.
• Familiarity with accounts payable, reconciliations and month-end reporting.
• Experience working in hospitality, private clubs, restaurants or golf operations.
• Basic understanding of Texas employment documentation and recordkeeping.

Position Expectations

The successful candidate will be accurate, discreet, responsive and comfortable working with multiple departments. This position reports to the Controller and General Manager and serves as an important administrative resource for club leadership.
