Office Administrator - Accounting/CPA Firm (Charlotte)

Job Description Job Description GBK Advisors, PLLC - Charlotte, NC We are a local CPA firm with three offices serving the Charlotte, Mooresville and Mississippi Gulf Coast area. We offer a friendly, relaxed and professional work environment. Our firm is seeking an experienced Administrative Assistant to support our growing firm. The ideal candidate will demonstrate great customer service, with the ability to work under pressure in a fast-paced environment. There is one position, in our Mooresville office. **Front Office Administrator** Location: Charlotte Full-time - 40 hours a week Monday-Friday 8:30am-5pm Tasks: • Promptly and professionally greet all clients, answer questions, and address concerns with great customer service • Screen and answer incoming phone calls using a multi-line telephone system, transfer calls to recipients or take messages as needed • Coordinate partner calendars, scheduling and rescheduling meetings and appointments • Work collaboratively to provide back-up support for staff • Responsible for postage and all mailings, including certified mail • Receive all incoming and outgoing mail and distribute mail to staff • Processing payment information for client billing as needed • File maintenance including scanning and copying, setup and updating client information, and check- in client documents upon receipt • Prepare & send e-file authorization forms in accordance with firm's policies and procedures • Assemble tax returns as needed • Maintain inventory, order supplies as needed, facilitate office equipment service issues, office cleanliness • Perform other duties as requested by partners/staff and assist with limited office errands as necessary. Skills and requirements: • 5+ years of professional service administrative experience, preferably in a CPA firm • Ability to maintain strict client confidentiality • Excellent written and verbal communication skills • Quickly learn and understand new software and proficiency in using firm applications, including Microsoft Office • Strong organizational skills with the ability to prioritize while working on multiple projects, meet deadlines, and ensure that work is accurate • Work well under pressure • Ability to take direction, but also work independently; self-reliant • High school diploma or equivalent PLEASE NO CALLS.
