Reports To: Director of Residential Services

Physical Requirements: Normal Office Environment

Hours of Work: Full time, 37.5 hours per week 8:30am – 4:30pm Monday through Friday. Additional hours as needed.

Job Summary: The international onboarding coordinator plays a vital role in ensuring a smooth, supportive, and compliant onboarding experience for newly hired international staff. The position, in collaboration with an outside consultant, screens candidates, schedules interviews, and ensures necessary documentation is provided to the immigration attorney as needed. Duties include coordinating immigration documentation, travel logistics, and essential appointments during their first 90 days in the United States. When not actively onboarding international hires, the international onboarding coordinator will assist the Human Resources (HR) department in recruiting Direct Support Professionals (DSPs) and serves as a backup to the Central Scheduler to help manage open DSP shift coverage.

Job Qualifications:

  1. Associate's degree in business administration, human services or a related field required, OR two years of related work experience in lieu of a degree, preferably in areas related to staff training, employee onboarding, recruitment functions and/or oversight or coordination of residential and/or other programs for individuals with disabilities.
  2. Bachelor's degree preferred.
  3. Prior experience with international staff supports or employment-based immigration is strongly preferred.
  4. Flexible availability to respond to flight schedules, medical appointments, or urgent onboarding needs, including evenings or weekends.
  5. Must be able to read, write, and speak the English language.
  6. A valid NYS driver's license that meets agency standards and reliable transportation.

Major Responsibilities:

  1. Manage recruitment efforts for international employees, including screening candidates, scheduling interviews, and participating in hiring events.
  2. Serve as primary point of contact for new international employees, offering support for community integration, transportation, and compliance needs.
  3. Coordinates all pre-arrival logistics for international new hires, including flight arrangements, consulate documentation, and visa entry requirements.
  4. Arranges airport pickups and provides transportation to staff's temporary housing provided by Liberty.
  5. Transports staff to pre-employment medical appointments, fingerprinting appointments, and other onboarding related errands.
  6. Schedules and accompany staff to post-arrival appointments including Social Security and DMV.
  7. Coordinates driving related steps: Permit testing, DMV 5-Hour course, and scheduling the road test, all within the first 90 days.
  8. Track onboarding milestones including permit/license progress and housing transitions.
  9. Maintains the Public Access File (PAF) in compliance with Department of Labor and USCIS requirements.
  10. Supports documentation needs for H-1B visa processing and other employment-based immigration matters.
