The Role: Working directly alongside our Founder & department leadership, the Operations Manager translates leadership priorities into daily execution, manages agency workflows, leads project schedules, and oversees financial & HR administrative processes. You will keep our team and work-in-progress running smoothly amid the demands and requirements of producing our best work for our clients. Key Responsibilities: Agency Operations & Executive Support: Participate in daily status reviews with executive leadership, translate priorities into actionable plans, resolve operational gaps, and establish/update standard operating procedures (SOPs) as required. Workflow, QA & Creative Project Management: Set up client projects & timelines in agency software [Jira], translate scopes into actionable tickets, manage daily/weekly assignments for the departments, and ensure QA standards & deadlines are met. Financial & Billing Coordination: Prepare new business proposals, client estimates and campaign budgets, evaluate vendor pricing, conduct weekly A/P and A/R reviews with Accounting, and coordinate monthly retainer and project billing. Production, IC & Vendor Management: Source, manage & contract vendors, handle photo/video shoot logistics, manage print/merchandise production, and oversee recurring projects. HR & Administration: Oversee labor force resources and compensation budget, employee onboarding/offboarding, process semi-monthly payroll, manage PTO tracking, and serve as the primary liaison for HR administrative questions [Altres]. Influencer, PR & Account Coverage: Direct creator outreach and contracting, oversee PR specialist workflows, and step in for temporary account management or client service coverage during staffing gaps. Office & Facilities Management: Basic tech troubleshooting, ordering office supplies, booking travel logistics, and coordinating with property management. Requirements: 10+ years of experience in agency operations, project management, or operational leadership (preferably within a marketing, advertising, or agency environment). Hands-on experience with project management platforms (e.g., Jira, Tempo). Proven ability to build estimates, manage productivity & budgets, and coordinate closely on accounting/billing. Outstanding communication, problem-solving, and multitasking skills under fast-paced deadlines. Compensation & Benefits Package Base Salary: $90K+ Annually (commensurate with experience).
