Staffing Coordinator, Per Diem

Job Overview Supporting nursing management in day‑to‑day coordination of staffing needs for individual patient care areas. Duties include identifying staffing requirements, entering data into an automated scheduling system, managing daily operations of the scheduling system, maintaining attendance and payroll records, and communicating staffing status to appropriate personnel. Major Responsibilities Identifies staffing needs and confers with appropriate managers throughout the day. Responsible for the accurate entry into the automated scheduling system: enters all new hires and updates monthly and daily schedules, manages and prints daily staffing sheets, sign‑in sheets, and posts staffing needs lists. Compiles daily staffing information and discusses with the appropriate manager or director. Participates in daily patient‑flow bed meetings (“huddles”). Makes calls to fill staffing needs; validates constant observation needs and communicates changes in staffing needs to charge nurses. Identifies overtime staffing and participates in reduction of expenses. In conjunction with managers, identifies and maintains staffing allocations and staffing needs to meet patient volume and acuity and to meet budgetary goals. Coordinates payroll data entry, completion of automated time cards and PeopleSoft sheets. Functions as a “superuser” with the automated scheduling system. Enters personnel data and new‑hire information into the scheduling system. Compiles productivity reports, attendance calendars, and overtime reports. Distributes reports to the Finance Department and the Chief Nursing Officer (CNO). Provides training with the automated scheduling system for new nurse managers, nursing supervisors and administrative assistants. Validates accuracy of schedules and provides daily staffing reports to the off‑shift nursing supervisors. Standard Staffing Level Responsibilities Complies with established departmental policies, procedures and objectives. Attends variety of meetings, conferences, seminars as required or directed. Demonstrates use of Quality Improvement in daily operations. Complies with all health and safety regulations and requirements. Position Qualifications License/Certification/Education: High school diploma or equivalent. Experience/Skills: Knowledge of basic medical terminology. Strong organizational skills and attention to detail. Strong follow‑up skills. Strong interpersonal and communication skills. Ability to build and maintain positive working relationships. Basic knowledge of MS Office applications and the ability to learn new software programs rapidly. Knowledge of automated scheduling systems. Ability to read, write and speak clearly in English. Preferred: Minimum three (3) years of staffing experience in a healthcare organization. Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility may be substituted for the above requirements. Department‑specific competencies, including age‑specific competencies and their measurements, will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.
