Job Summary:

As a Transportation Team Lead, you’ll guide a team of schedulers and driver/PCAs while supporting the daily flow of transportation services.

This role is ideal for someone who is versatile, even-tempered, and comfortable moving between coaching, coordinating, problem-solving, and hands-on support. You’ll help keep operations smooth, maintain strong communication with staff, and work closely with the multidisciplinary team to support participant care.

Schedule:

First shift, full-time hours. Specific work hours will be established in consultation with your supervisor.

Duties and Responsibilities:

Center Operational Leadership

· Lead the daily transportation huddle covering staffing, vehicle status, weather, route risk, critical appointments, high-risk riders, and unresolved issues.

· Confirm route manifests, driver assignments, backup coverage, and vehicle readiness before service begins.

· Direct same-day response to delays, call-offs, no-shows, route disruptions, and participant service recovery.

· Ensure timely communication with participants, caregivers, Center Leadership, Clinical Operations, and external appointment functions.

· Maintain visible operational leadership rather than functioning primarily as the dispatcher or scheduler.

2. Scheduler Partnership and Dispatch Oversight

· Partner with the assigned scheduler to convert center schedules, external appointments, mobility needs, and service priorities into accurate daily transportation plans.

· Provide supervisory direction, escalation support, and decision-making while preserving the scheduler’s responsibility for route building, real-time adjustments, communication, and documentation.

· Review upcoming demand, capacity, special transportation needs, vendor requirements, and unresolved scheduling risks.

· Ensure standardized participant flags and ride requirements are accurately communicated, including mobility equipment, escort, oxygen, cognitive, behavioral, and infection-control needs.

· Escalate recurring scheduling, technology, capacity, or communication barriers with a clear recommendation.

3. People Supervision and Workforce Accountability

· Interview, onboard, schedule, coach, observe, evaluate, recognize, and hold accountable assigned transportation employees in partnership with Human Resources and transportation leadership.

· Manage attendance, conduct, performance, overtime, training completion, and coverage plans within delegated authority.

· Maintain an identified backup for daily leadership and support succession development for scheduler and frontline roles.

· Build a respectful, safety-first culture focused on participant dignity, teamwork, reliability, and early escalation.

4. Safety, Compliance, and Fleet Readiness

· Verify required vehicle inspections, securement practices, driver qualifications, competencies, and documentation.

· Immediately remove unsafe vehicles, equipment, or practices from service and escalate according to policy.

· Ensure incidents, near misses, injuries, complaints, and defects are reported promptly and corrective actions are completed.

· Coordinate preventive maintenance, vehicle defects, downtime, road calls, and documentation with centralized Fleet and transportation leadership.

· Support audits, field observations, ride-alongs, retraining, and readiness reviews.

5. Performance, Clinical Integration, and Service Recovery

· Monitor on-time performance, missed rides, critical appointment reliability, ride-time exceptions, complaints, vacancies, overtime, vehicle availability, and corrective-action closure.

· Use trend review and root-cause analysis to identify center-level improvement priorities and implement time-bound action plans.

· Partner with the IDT, Center Leadership, Clinical Operations, and external appointment teams to protect access to required care.

· Lead local recovery when service is disrupted and elevate issues that exceed center authority or capacity.

6. State Framework Contribution and Peer Leadership

· Provide practical center-level input into state transportation SOPs, escalation pathways, dashboard definitions, staffing approaches, training tools, and readiness standards.

· Participate in state operating reviews and present concise updates on results, risk, root cause, corrective action, and decisions needed.

· Serve as a resource to other center supervisors through peer coaching, orientation support, problem-solving, and sharing effective practices, without assuming their formal supervisory authority unless specifically delegated.

· Accept delegated cross-center assignments such as launch readiness, temporary stabilization support, workflow pilots, audits, or contingency planning.

· Help identify systemic themes across centers and recommend state-level solutions while maintaining accountability for the assigned center.

· Other duties as assigned.

Leadership Responsibilities:

· Owns center outcomes and escalates early when safety, participant access, staffing, fleet, or service performance is at risk.

· Balances hands-on operational awareness with protected time for coaching, performance management, analysis, and improvement.

· Influences peers through credibility, consistency, data, and collaboration rather than title alone.

· Demonstrates the ability to think beyond one center and distinguish local issues from state-wide patterns.

· Communicates clearly with frontline staff, peer leaders, Clinical Operations, and executive transportation leadership.

Supervisory Responsibilities:

• 8+ direct reports depending on census.

Education and Experience:

• Bachelor’s degree.
• One year of experience working with the frail or elderly population.
• Five or more years of experience in supervision, scheduling, logistics, Tripmaster, GPS software, Pacelogic, and Prime Suite.
• Intermediate to advanced experience with Microsoft Office.
• CPR and First Aid Certification (or willingness to obtain after hire — we’ll provide the training!)
• Must be at least 18 years of age

Requirements:

• Requires valid State driver’s license with a clean driving record.

• Successful completion of background check, physical, drug screening, TB Screening

Physical Requirements:

• Works in well-lighted and ventilated office and therapy areas.
• Sits, stands, bends, lifts, and moves intermittently during the workday.
• Must be able to assist with participant evacuations.
• May experience frequent interruptions and shifting priorities.
