Department SCHOOL OF EDUCATION (NW-EDUC-IUNWA) Job Summary Department Specific Responsibilities Serves as the primary administrative support for the School of Education office, providing exceptional customer service to prospective students, current students, faculty, staff, alumni, and community partners. Coordinates student-facing processes including admission inquiries, program information, graduation applications, licensure documentation, and field experience communications. Assists with scheduling and coordination of School of Education meetings, faculty meetings, advisory board meetings, student orientations, recognition ceremonies, and special events. Supports faculty with course scheduling, classroom logistics, textbook orders, instructional materials, travel documentation, and other academic administrative functions. Maintains student and departmental records while ensuring compliance with university policies, accreditation standards, and applicable state licensure requirements. Assists with data collection, report preparation, and documentation required for state reporting, accreditation reviews, and program assessment initiatives. Coordinates office purchasing, supply inventory, and payment requests using university financial systems. Collaborates with campus offices including Admissions, Registrar, Financial Aid, Academic Advising, Student Affairs, Human Resources, and the Office of Clinical Experiences to support student success. Monitors shared departmental email accounts and respond to inquiries or direct requests to the appropriate faculty or staff member. Assists with onboarding adjunct faculty and supporting administrative processes related to instructional appointments. Coordinates logistics for educator preparation activities including workshops, information sessions, teacher recruitment events, and community outreach initiatives. Maintains departmental webpages, calendars, and communication materials to ensure accurate information is available to students and stakeholders. General Responsibilities Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail. Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation. Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains electronic records and databases. Provides directions, support, and information to student organization representatives and other visitors to the department. Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials. May assist with ordering or creation of promotional materials for student organizations or departmental needs. May provide guidance to other Student Services Coordinators. Qualifications Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education. Education High school diploma or equivalent (such as HSED or GED). Work Experience 2 years of in-office environment, higher education, or related field. Preferred Experience Experience working in higher education, K-12 education, or an academic department. Experience providing administrative support in a fast-paced office with multiple priorities. Experience coordinating faculty travel. Experience coordinating meetings, events, or student programs. Experience maintaining confidential student or personnel records. Experience working with databases or student information systems. SKILLS Required Proficient written and verbal communication skills. Ability to handle confidential information with discretion. Experience working in a collaborative team environment. Familiarity with educator preparation programs, teacher licensure processes, or accreditation standards is preferred. Experience supporting accreditation, compliance, or reporting activities is preferred. Experience using enterprise software such as PeopleSoft, Slate, Canvas, Microsoft 365, or similar systems is preferred. Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
