1.0 PURPOSE

The Recruitment Coordinator acts as the operational and logistical backbone of the hiring process. He or she will manage candidate scheduling, maintain applicant tracking, facilitate onboarding, and serve as the main point of contact for candidates and hiring managers to ensure a seamless recruitment experience. The Recruitment Coordinator will seek out, maintain, and develop relationships with staffing agencies, recruiters, and all other forms of talent acquisition.

2.0 JOB DUTIES

• Works directly with, and reports to, the Senior Office Administrator.
• Works with the Director of Operations to develop talent acquisition operations.
• Assist Senior Office Administrator and managers in the full hiring process of employees, including recruitment, interviews, verifying work history and references, and tracking of new possible candidates.
• Responsible for new-hire procedures, including organizing employee orientation, creating new employee files, administering employee guidelines, and ensuring all necessary paperwork is properly filled out and submitted to appropriate people.
• Organize, maintain, and update employee information as needed.
• Make sure all health and safety regulations and filing procedures are followed as required.
• Present new or additional training materials to employees and add them to their files.
• Coordinate and schedule interviews, including managing calendars and interviewers.
• Act as the primary face of the company, guiding candidates through the hiring pipeline, providing status updates, and answering inquiries.
• Facilitate background checks, reference checks, prepare offer letters, and coordinate new-hire orientations.
• Review incoming resumes, conduct initial phone screens, and assist in identifying top talent.
• Organize or attend career fairs, networking events, and coordinate internal workforce outreach.
• Foster positive employee relations and work to solve any employee issues that surface.
• Make sure all employee records are filed correctly and kept confidential.
• Abide by company-enforced HR processes and current employment laws and regulations.
• Under the leadership of In-House Council, be a vital source of human resources
• information, answering any questions employees may have.
• Other duties as assigned.
• 3.0 ACCOUNTABILITY
• The Recruitment Coordinator will be accountable to the Senior Office
• Administrator.
• 4.0 QUALIFICATIONS
• Comfortable working in a highly visible role.
• Must be bilingual (English / Spanish speaking).
• Strong communication skills, both oral and written, both in English and Spanish.
• Highly organized and efficient worker; skilled at multi-tasking.
• Good time-management skills.
• Positive and personable demeanor.

• Administrator and coordinator experience.
• High school diploma or GED equivalent required.
• Bachelor’s degree or human resources or related field preferred.
• One (1) to two (2) years of relevant experience in HR work.
• Three (3)+ years working in an administrative capacity.
• Strong skills using Microsoft Office Suite.
• Experience working within advanced ERP systems.
• Reliable and personable; enjoy working with a diverse range of individuals and
• ensuring employee requirements and needs are met first.
