ADA Accommodations Specialist (HR Employee Relations) Location: Remote (Candidate must be local to the Maitland / Altamonte Springs, FL area for potential conversion to a hybrid schedule: Onsite M, W, Th) Pay Rate: $31.00 – $35.00 / hour Schedule: Full-Time | Mon–Thu 8:00 AM – 5:00 PM & Fri 8:00 AM – 4:00 PM (Includes a 9:00 AM – 6:00 PM shift rotation) Duration: Contract Physical Work Site: Corporate Office (Altamonte Springs, FL) The ADA Accommodations Specialist establishes and develops trusted relationships with organizational leadership, HR Business Partners, HR Shared Services teams, and the Legal Department to manage the day-to-day administration of disability-related accommodation inquiries and escalations. In this role, you will serve as the subject matter expert responsible for handling a high-volume ADA caseload, reviewing clinical documentation, and leading interactive process discussions with leaders to recommend and implement reasonable accommodation solutions. Key Responsibilities ADA Subject Matter Expertise: Serve as the SME on employment laws related to the ADA/ADAAA; research regulations to ensure organizational compliance and minimize risk. Interactive Process Management: Lead interactive discussions between team members, leadership, and medical providers to evaluate and negotiate reasonable accommodation requests. Case Documentation & Administration: Accurately document all ADA cases, evaluate federal/state/company leave eligibility, and issue timely communications in line with regulatory requirements. Accommodation Decisions: Recommend, negotiate, or renegotiate reasonable accommodations; issue formal denials when appropriate, offering legally sound solutions for complex cases. Cross-Functional Collaboration: Partner with Risk Management (where Worker's Compensation intersects with ADA), Employee Relations, Talent Acquisition, and 3rd-party leave administration vendors. System & Process Support: Support ADA data setup during mergers and acquisitions, contribute to standard operating procedures (SOPs), and assist with new HR system implementations. Privacy & Compliance: Ensure strict adherence to HIPAA and employee confidentiality standards. Education & Experience Required: Bachelor’s degree AND 2+ years of dedicated experience supporting ADA accommodations within a Human Resources environment. Preferred: Bachelor’s degree in Human Resources or Healthcare Management; background working in a large enterprise setting with multi-program leave policies. Knowledge & Skills Strong understanding of employment laws and benefit regulations (ADAAA, FMLA, USERRA, HIPAA, ERISA, OSHA, IRS, DOL). Experience facilitating interactive process meetings with organizational leaders. Hands-on experience with HCM platforms (e.g., PeopleSoft) and CRM case management tools. Outstanding communication, de-escalation, customer service, and conflict resolution skills. Proficiency in Microsoft Office Suite (including advanced Excel skills). Certifications (Preferred) PHR, SHRM-CP, or CEBS (Certified Employee Benefits Specialist) certification. Work Setup: Currently remote with local proximity required. Upon full-time conversion, the schedule shifts to Hybrid (In-office M, W, Th; Remote Tue, Fri). Compliance Onboarding: Candidate must successfully complete standard non-clinical background checks, drug/nicotine screenings, OIG/GSA attestations, immunizations/declinations (TB, Flu, Hep B, TDaP), and facility orientation documentation prior to start.
