Admin Clerk 2

RJW Logistics Group

Schedule 1st Shift – Monday through Friday, 7:00 AM to 3:30 PM. Job Purpose To accept and schedule customer orders to ensure customer satisfaction, and to provide administrative support as required by personnel working in the Transport Operations Department. Essential Duties and Responsibilities Enter customer orders and scan/index documents as required. Schedule the pick‑ups and delivery of customer loads. Properly document orders in computer and update customer contact information. Maintain communications with customers regarding changes in pick‑up and delivery schedules and potential service failures. Clearly understand goals, policies, and procedures of RJW. Communicate customer problems, leads, and inquiries to the appropriate personnel. Maintain confidentiality of company information. Recommend and implement approved improvements. Update reports as required by the operations manager and COO. Assist the local dispatcher in updating Tee Cards. Perform other tasks as assigned by manager. Additional Responsibilities Positive telephone personality. Capable of being trained to be ‘Phone Assertive’. Exceptional customer service skills. Organizational and scheduling skills. Computer abilities including word processing, spreadsheets, and ability to learn application software used by RJW. Qualifications Basic office clerical skills. Type at least 40 wpm. 1–2 years of clerical experience. Basic transportation/logistics experience. Education and/or Experience Required High School Diploma or GED (preferred). Language Skills Sets Must be able to communicate, read, write, and speak English. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations; write reports, business correspondence, and procedure manuals; and effectively present information and respond to questions from managers, clients, and customers. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals; compute rates, ratios, and percentages; and interpret bar graphs. Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations with limited standardization. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Determine “root cause” of problems and identify corrective actions. Computer Skills Knowledge of business operating systems, Internet software, word processing, and spreadsheet software. Physical Demands Occasionally lift or move up to 25 pounds. Use keyboard and control panels to activate phone systems. Articulate and comfortable speaking in front of others. Operate in an indoor office environment, requiring sitting and repetitive hand motion. Stand, walk, talk, and hear regularly. Work beyond continuous 8‑hour periods when required. Handle stressful situations, maintain accuracy, and concentrate on multiple tasks. Read and discern visual images on various media with corrected 20/20 vision. Communicate clearly over telephones. Maintain sound physical health under physician evaluation with no controlled substance evidence. Work Environment Occasional exposure to moving mechanical parts, fumes, or airborne particles.
