Oversee and optimize the daily schedule to ensure appropriate staffing levels, seamless transitions, and smooth operations. Track operational metrics, compile reports and summaries, and keep leadership informed on key activity areas. Ensure all clinic operations function in strict compliance with internal standards and procedures. Ensure complete and accurate EMR records, including patient profiles and employee timesheets. Direct office management tasks: track inventory, order supplies, and distribute equipment and materials. Ensure clinic cleanliness, safety, and functional organization. Support local client onboarding, gathering necessary patient information to facilitate smooth admission. Support new hire onboarding and coordinate clinical and administrative training schedules. Provide treatment support, including coverage during staff breaks and busy transition periods. Foster a positive, collaborative, and motivating therapy environment for staff and clients alike. Continuously build job knowledge, leadership capability, and professional skills to support ongoing career advancement. Qualifications High school diploma or equivalent required; Bachelor's in a related field preferred. Prior supervisory or management experience highly desired. Proven experience in an administrative, healthcare, or operational role. Exceptional verbal and written communication skills with the ability to interact effectively with families, staff, and leadership. Outstanding organizational skills with sharp attention to detail and a high standard for quality work. Strong ability to prioritize tasks, meet strict deadlines, and balance competing operational priorities to achieve shared team goals. Aptitude for quickly learning new operational software, systems, and procedures. Demonstrated ability to remain composed, structured, and efficient in a fast-paced, dynamic work environment.
