Are you an empathetic, articulate communicator who excels at building rapport and guiding clients through important life decisions? Our growing boutique estate planning law firm is seeking a Client Onboarding & Solutions Specialist to own the prospective client experience. In this vital role, you are the front door to our firm—serving as the first point of contact for families seeking estate planning or navigating probate. You will listen to their unique needs, screen for firm fit, answer fundamental process questions, and seamlessly schedule qualified leads directly onto our attorneys' calendars.

You will utilize CRM support to manage our lead pipeline, ensuring every inquiry receives prompt, warm, and professional attention.

Key Responsibilities

• First Contact & Inquiry Screening: Answer incoming phone calls and web inquiries; conduct initial discovery conversations to understand prospective clients' goals and determine firm fit.
• Consultation Booking: Schedule Initial Consultation Meetings (ICMs) directly onto attorney calendars, maintaining optimal calendar flow and balanced daily workloads.
• Pre-Consultation Preparation: Guide prospective clients through completing their pre-consultation experience prior to their attorney meeting.
• Pipeline Management: Track and nurture prospective client inquiries within client-focused software, conducting follow-ups as appropriate.

Qualifications & Requirements

• Experience: 2+ years of experience in consultative phone calls, client intake, or hospitality/professional services administration (legal intake or legal sales experience is a plus).
• Software Skills: Hands-on experience with CRMs and standard office software.
• Communication: Exceptional verbal and written communication skills with an empathetic, active-listening phone presence.
• Organization: High attention to detail, strong follow-through, and the ability to manage a active sales/intake pipeline efficiently.
