Lead Health Information Specialist

This position is responsible for processing all release of information (ROI), specifically medical record requests in a timely and efficient manner ensuring accuracy and providing customers with the highest quality product and customer service. The associate must safeguard patient privacy, ensuring only authorized individuals access the patient’s medical information, and that all releases comply with requests, authorizations, company policy and HIPAA regulations. This is an intermediate level position requiring at least 1 year of related Health Information Management experience. Maintain confidentiality and security of privileged information. Maintain working knowledge of company and facility software. Adhere to the company's and customer facilities code of conduct and policies. Inform manager of work, site difficulties, and/or fluctuating volumes. Assist with additional duties or responsibilities as needed. Pay enhanced attention to detail for medical records. Apply medical privacy regulations consistently to guard against unauthorized disclosure. Manage patient health records and safeguard compliance with HIPAA standards. Prepare new patient charts, gather documents and information from paper sources and/or electronic health record. Ensure medical records are assembled in standard order and are accurate and complete. Create digital images of paperwork to be stored in the electronic medical record. Respond to requests for patient records both within the facility and by external sources, retrieving and transmitting appropriately. Answer inbound/outbound calls. Assist with patient walk‑ins. Assist with administrative duties such as handling faxes, opening mail, and data entry. Schedule pick‑ups. Assist in training associates in HIS positions. Generate reports for manager or facility as directed. Meet or exceed level 1 productivity expectations as outlined at specific site. Participate in project teams and committees to advance operational strategies and initiatives as needed. Mentor HIS staff for professional development. Inform senior leadership of issues, opportunities or challenges. Assist regionally with training, mentoring and/or coverage as needed. Participate and assist with onboarding activities for new employees. Assist with quality assurance tasks as directed by management. Act in a lead role with staff regarding general questions and assist with new hire training and developmental training. Lead training sessions for timely staff development. Other duties as assigned. Qualifications High School Diploma or GED. Must be 18 years of age or older. Ability to commute between locations as needed. Ability to work overtime during peak seasons when required. At least 1 year of Health Information Management related experience. Basic computer proficiency. Comfortable utilizing phones, fax machine, printers, and other general office equipment regularly. Professional verbal and written communication skills in English. Detail and quality oriented regarding accurate and compliant medical records. Strong data entry skills. Ability to work with minimum supervision, responding to changing priorities and role needs. Ability to organize and manage multiple tasks. Ability to respond to requests in a fast‑paced environment. Presentation skills for small group settings. Forward thinking and problem‑solving skills. Bonus Points 2+ years of Health Information related experience. Meets and/or exceeds Company’s productivity standards. Previous production/metric‑based work experience. In‑person customer service experience.
