Responsibilities

• Greet customers professionally at the front desk, providing a warm and welcoming atmosphere.
• Speed to lead is key
• Lead conversion assistance
• Manage phone systems, directing calls accurately and courteously.
• Handle data entry tasks using Acculynx CRM, Google Workspace, and other computer tools to maintain accurate records.
• Assist with appointment scheduling, calendar management, and basic office management duties.
• Support clerical tasks such as filing, proofreading, and maintaining organized records.
• Provide excellent customer service by addressing inquiries promptly and effectively via phone or in person.
• Perform administrative support including copying, faxing, and managing incoming/outgoing correspondence.
• Maintain a professional appearance and uphold proper phone etiquette at all times.
• Support office operations by managing supplies, organizing files, and ensuring smooth daily workflow.

Skills

• Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
• Excellent organizational skills with the ability to prioritize tasks efficiently.
• Exceptional customer service skills with a friendly demeanor and effective communication abilities.
• Experience with phone systems and front desk operations.
• Bilingual abilities are highly valued to assist diverse client needs.
• Knowledge of office management procedures including filing, data entry, and calendar management.
• Attention to detail for proofreading documents and maintaining accurate records.
• Familiarity with clerical tasks such as typing quickly and accurately while managing time effectively.
