Accounts Payable Coordinator - Direct Hire

Full-Time | Onsite - Monday to Friday Pay rate $24-$26/hr. DOE.

We are seeking a detail-oriented Accounts Payable Coordinator to join our growing team. This position is responsible for processing invoices, maintaining accurate financial records, supporting budget controls, and ensuring timely communication with vendors and internal departments. The ideal candidate is organized, proactive, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities

• Process and review invoices for accuracy and completeness prior to approval.
• Verify invoice details, coding, job assignments, and budget allocations.
• Assist with identifying and documenting budget variances and cost overruns.
• Coordinate with vendors and subcontractors to obtain invoice and payment information.
• Prepare weekly reports related to job costs and budget tracking.
• Maintain vendor records and ensure compliance with documentation and insurance requirements.
• Track project statuses, budgets, schedules, and supporting documentation.
• Organize and distribute invoices and reports to internal stakeholders.
• Support accounting and operations teams with additional administrative and financial tasks as needed.

Qualifications

• High school diploma or equivalent required.
• Minimum of 1 year of accounts payable, clerical accounting, or related experience.
• Proficiency in Microsoft Excel and Microsoft Word.
• Strong organizational, communication, and time management skills.
• Ability to multi-task and prioritize work effectively.
• High level of accuracy and attention to detail.

Preferred Experience

• Experience with invoice processing and accounts payable functions.
• Knowledge of job costing, budgeting, or project-based accounting.
• Experience working with vendors and resolving invoice discrepancies.

Work Environment

• Primarily office-based with occasional visits to project locations as needed.
• Ability to remain seated for extended periods and occasionally move throughout the office to access files, equipment, and supplies.
