Service Operations Senior Associate

The role of Service Operations Senior Associate is responsible for managing service permitting, securing service rental equipment, and managing uniforms and PPE for the service techs. The Senior Associate also assists the Service Operations Coordinator with service parts procurement and provides warranty and core management back-up support for the Warehouse Service Operations Senior Associate.

Essential Job Functions

Service rental equipment and service tech uniforms and PPE

• Works with the Service Team to provide purchase orders for creditcard, rental equipment, and other miscellaneous needs.
• Follow up with Service & Techs for invoices related to the above purchase orders and ensure they are completed and billed to appropriate workorders, jobs, and internal accounts.
• Ensures all service techs have the proper uniforms and PPE. Orders uniforms and PPE; maintains stock inventory.

Service permitting

• Works with State, City, Pollution controls & fire agencies to produce permits for Service work
• Create & Manage permit folders within Microsoft Teams to store permit documentation for each project.
• Update all information on purchase orders & work orders in ERP system (JONAS) as needed.
• Work closely with Service & Parts procurement to keep the job moving as the permit process closes, and provide the documents needed for job completion
• Work with the Service Team and Inspectors to schedule final inspections

Service parts procurement

• Assist the Service Operations Coordinator with service parts procurement on an as-needed basis.
• Issue, and manage purchase orders for service parts procurement
• Monitor stock inventory levels (Min and Max)
• Maintain accurate procurement records and documentation.
• Obtain tracking and shipping charges from vendors to help accounting accurately bill customers.
• Work with receiving and vendors to resolve any shipping errors.
• Compare vendor acknowledgments to purchase orders to verify part numbers, quantities, prices, and receipt date. Update all information on purchase orders & work orders in ERP system (JONAS) as needed.
• Work with Service Techs to provide purchase orders for credit card purchases and other miscellaneous needs. Follow up on invoices related to the purchase orders and ensure they are completed and billed to the appropriate workorders, jobs, and internal accounts.
• Position has long-term room for growth.
• Other tasks and special projects as determined by Management.

Experience and Abilities

• High school Diploma or GED required.
• 3-4 Years of administrative experience required.
• Focused on customer service with a passion for quality.
• General knowledge of purchasing and inventory control systems.
• Strong organizational skills and attention to detail.
• Strong interpersonal and communication skills.
• Comprehensive understanding of Microsoft Excel, Word, and JONAS.
• Able to thrive in a fast-paced environment.

• Ability to work autonomously, and as a team; self-motivated.
• Proven history of being reliable and dependable.

Job Safety Requirements

• Follow and promote all safety protocols during work hours while working, driving, loading, lifting, moving any tools, equipment, furniture, or storage units.
• When required, wear safety boots and other Personal Protective Equipment (safety vest, safety glasses, noise protection, fall protection, etc.).
• Participates in the monthly Field Safety Meetings and safety training. Works with the Safety Manager to determine safety equipment needs for the service team.

Essential Physical Requirements & Work Environment

Must work within safety protocols and use task-appropriate PPE.

This position requires the ability to perform the following essential physical functions, with or without reasonable accommodation:

• Perform a combination of sedentary office work and active warehouse/field duties throughout the workday
• Sit, stand, and walk for extended periods; frequently bend, stoop, kneel, and reach
• Use hands and fingers for computer, phone, and material handling tasks
• Lift, carry, push, and pull materials up to 50 pounds regularly, and heavier items with assistance or mechanical equipment
• Safely operate material handling equipment, including forklifts (training/certification required)
• Safely operate company vehicles, including pickup trucks, stake bed trucks, and vehicles towing trailers, and maintain a valid driver's license
• Enter and exit vehicles and equipment repeatedly and secure loads as needed
• Possess visual acuity sufficient to read screens and documents, identify labels and hazards, and safely operate vehicles and equipment
• Possess hearing ability sufficient to communicate effectively and perceive equipment sounds, alarms, and warnings
• Work in indoor and outdoor environments, including exposure to noise, dust, temperature changes, and job site conditions
• Use required personal protective equipment (PPE)
