Construction Project Assistant | PM Coordination & Procore

We’re currently seeking aProject Assistantto support our project management team and help ensure the smooth execution of our construction projects. TheProject Assistantprovides essential administrative and coordination support to the Project Manager. This role is perfect for a highly organized, detail-oriented professional who thrives in a fast-paced environment and enjoys working both independently and collaboratively. Key Responsibilities: Prepare and maintain submittal logs, ensuring they are current at all times. Communicate with subcontractors and suppliers to gather and track information. Review documents for compliance, assemble submittal packages, and upload approved documents into Procore. Project Setup & Closeout Assist in setting up new projects, including file structures, documentation, and Procore configuration. Coordinate the project closeout process, ensuring all documents and data are complete and uploaded. Solicit bids from subcontractors and suppliers. Review bids and assist the bid captain in updating spreadsheets for project estimates. Meetings & Communication Prepare agendas and meeting minutes for pre-construction and progress meetings. Distribute documents and updates to project stakeholders promptly. RFI’s / ASI’s / Change Orders Draft, log, and track RFI’s and ASI’s while coordinating responses and document distribution. Assist in the review and preparation of change orders, ensuring deadlines and submission requirements are met. Additional Duties: Manage uploads of daily job photos and other documentation in Procore. Assist with owner-furnished materials and deliveries when needed. Perform other administrative and coordination tasks as assigned by the Project Manager. Qualifications: Previous experience in construction administration or project coordination preferred. Strong organizational and multitasking skills. Proficiency in Microsoft Office and familiarity with Procore or similar construction software. Excellent communication and time-management abilities. Ability to work independently with minimal supervision.
