Client Intake Specialist

Description We are searching for an energetic, upbeat, attentive Client Intake Specialist who will serve as the first point of contact for potential clients. You’ll listen attentively to their legal needs, determine if we can help and create a welcoming and professional experience that builds trust and confidence from the very first interaction. As an integral member of our team you will answer inbound calls, “sell” our firm to potential new clients, and provide a vital service as the initial introduction of our firm. By listening with empathy and gathering accurate information, this role facilitates a smooth transition from inquiry to engagement. The goal is to establish a strong foundation for long‑lasting relationships while determining whether our legal services are the right fit for their needs. You will work closely with our Managing Partner and Director of Operations to onboard new clients. Other tasks might include assisting other team members on small projects as needed during downtime. No two days are alike! We have a small but very collaborative team that includes team builders, celebrates birthdays and work‑anniversaries, community service projects, and team lunches from time to time. Responsibilities Greet and engage with potential clients over the phone. Collect and accurately record key client information. Assess client needs and determine suitability for our legal services. Set appointments for potential clients. Follow up with potential clients throughout the intake process to answer any questions or address any concerns. Communicate with empathy, professionalism, and discretion. Maintain organized and detailed records of all interactions. Collaborate with team members to ensure smooth intake processes. Be energetic, patient, professional, reliable, able to multi‑task, and possess great attention to detail along with a strong memory. Qualifications Professional attitude and appearance. Must be able to speak clearly and listen attentively while taking notes during phone calls. A quick thinker with strong interpersonal skills. Strong communication skills, both written and verbal. Excellent organizational skills, attention to detail, and strong memory. Ability to successfully manage a pipeline of potential clients from initial call through engagement/on‑boarding. Dedicated to following up with potential clients for maximum results via phone and/or email. Ability to handle sensitive and confidential information with discretion. Strong computer skills and proficiency with MS Office applications.
