J ob Summary

We are seeking a detail-oriented and dependable Payroll & Administrative Specialist to manage multi-state payroll for Nevada and Arizona employees , while also providing essential administrative support. This role requires strong knowledge of payroll compliance, organization, confidentiality, and the ability to manage multiple priorities accurately.

Payroll Responsibilities (Multi-State: NV & AZ)

• Process weekly and/or bi-weekly payroll for Nevada and Arizona employees (hourly and salaried)

• Ensure accurate calculation of wages, overtime, PTO, bonuses, and deductions across both states

• Apply correct state-specific wage laws , including:
  • Nevada meal/rest periods, overtime, and final pay rules

  • Arizona minimum wage, overtime, and federal FLSA break standards

• Review and approve timecards; resolve discrepancies prior to payroll submission

• Process new hires, terminations, and final paychecks in compliance with NV and AZ laws
  
  
• Administer garnishments, child support orders, and wage deductions across jurisdictions

• Maintain payroll records in compliance with state and federal retention requirements
  
  
• Coordinate payroll tax filings and reporting for NV & AZ , including year-end W-2 processing

• Respond to employee payroll inquiries professionally and timely

• Maintain strict confidentiality of payroll and employee information

Administrative Responsibilities

• Provide general administrative and office support to management and operations

• Assist with onboarding paperwork and employee file maintenance (multi-state compliance)

• Maintain organized digital and physical employee and payroll records

• Answer and route phone calls and emails professionally

• Assist with scheduling, calendar coordination, and internal communications

• Prepare basic payroll, labor, and administrative reports

• Support invoicing, expense tracking, and data entry as needed

• Order office and janitorial supplies and track inventory

• Assist with audits, licensing, and compliance documentation

Qualifications

• Payroll experience required ( multi-state payroll experience strongly preferred )

• Working knowledge of Nevada and Arizona wage & hour laws
  
  
• Experience with payroll systems such as ADP, Paylocity, Paycom, or QuickBooks Payroll
  
  
• Proficient in Microsoft Excel and payroll reporting

• Strong attention to detail and organizational skills

• Ability to handle confidential and sensitive information

• Strong communication and problem-solving skills

Requirements

• Authorized to work in the United States

• Ability to manage payroll compliance across multiple states
