Assistant to Vacant Home Manager

Japanese Language Skills: Speaking, writing, and reading business level Japanese is REQUIRED for this job. We are seeking a detail-oriented, bilingual Assistant Property Manager to support the management of high-end residential properties, specifically focused on vacant home care and luxury concierge services for our Japanese-speaking clientele. You will act as the primary liaison for overseas owners, ensuring their Hawaii residences are meticulously maintained, secure, and ready for their arrival. Key Responsibilities Serve as the primary point of contact for Japanese-speaking owners. Provide regular property status updates and detailed inspection reports in both English and Japanese. Translate maintenance proposals and legal documents as needed. Conduct weekly or bi-weekly on-site walkthroughs of vacant luxury units to check for plumbing leaks, pest issues, security breaches, and appliance functionality. Ensure the property remains in "arrival-ready" condition at all times. Schedule and oversee contractors (landscapers, pool technicians, cleaners, and repair crews). Obtain quotes for repairs and verify that work is completed to luxury standards. Coordinate "arrival prep" including grocery stocking, floral arrangements, and vehicle detailing. Conduct pre-arrival and post-departure inspections to ensure a seamless experience for owners. Assist with processing invoices, utility payments, and maintaining digital property files. Coordinate with the Association of Apartment Owners (AOAO) regarding building notices or maintenance. Requirements & Qualifications Native or business-level fluency in Japanese (speaking, reading, and writing) is REQUIRED. An active Hawaii Real Estate License is highly preferred but not required. 1–3 years in property management, hospitality, or real estate services. Proficiency in Microsoft Office (Excel/Word) and property management software. Must have a valid driver’s license and a reliable vehicle for frequent site visits across Oahu.
