POSITION SUMMARY:

The Property Manager & Leasing Agent is responsible for providing exceptional property management services for one assigned affordable housing community while also serving as a leasing specialist for the remaining Vintage Housing portfolio. This position divides time equally between managing the daily operations of one property (approximately 20 hours per week) and supporting leasing, marketing, applicant processing, and occupancy efforts across all Vintage Housing properties (approximately 20 hours per week).

The following represents the primary responsibilities of this position but is not intended to be all-inclusive.

Property Management

• Manage the day-to-day operations of one assigned Vintage Housing property.
• Build positive relationships with residents while providing outstanding customer service.
• Conduct resident move-ins and move-outs.
• Coordinate lease renewals.
• Perform regular property inspections and identify maintenance needs.
• Submit, monitor, and follow up on maintenance work orders.
• Ensure curb appeal and cleanliness of the property.
• Address resident concerns and resolve issues professionally.
• Enforce lease provisions and community policies.
• Coordinate resident communication and community activities.
• Assist with rent collection and delinquency follow-up.
• Maintain accurate resident files and documentation.
• Ensure compliance with HUD, LIHTC, Fair Housing, and other applicable affordable housing regulations.
• Collaborate with maintenance staff regarding apartment turns and building repairs.
• Monitor vacant units and readiness for occupancy.
• Prepare reports and documentation as requested.
• Participate in required inspections and audits.

Leasing (Approximately 20 Hours Weekly)

• Serve as the primary leasing resource for all Vintage Housing properties.
• Respond promptly to leasing inquiries via phone, email, and walk-ins.
• Maintain prospective resident waiting lists.
• Schedule and conduct apartment tours.
• Explain community amenities, rental qualifications, and affordable housing requirements.
• Process rental applications.
• Verify applicant documentation.
• Coordinate applicant screening and eligibility review.
• Work closely with Property Managers to identify upcoming vacancies.
• Market available apartments using approved advertising methods.
• Maintain listings on various housing websites.
• Track leasing metrics and occupancy goals.
• Follow up with prospective residents to improve conversion rates.
• Coordinate lease signing appointments.
• Assist new residents through the onboarding process.
• Help reduce vacancy days across the housing portfolio.
• Support special leasing events and outreach activities.
• Maintain accurate applicant records and leasing reports.

Administrative Responsibilities

• Maintain confidential resident and applicant information.
• Utilize property management software to maintain accurate records.
• Prepare reports, correspondence, and documentation.
• Maintain organized resident and leasing files.
• Participate in staff meetings and training.
• Stay current on Fair Housing, HUD, LIHTC, and other affordable housing regulations.
• Perform other duties as assigned.

Requirements:

• Experience using property management software preferred.
• Ability to work independently while collaborating with multiple communities.
• Professional telephone etiquette.
• Ability to market and promote apartment communities.
• High school diploma or GED required.
• Minimum of two years of experience in property management, apartment leasing, or affordable housing preferred.
• Experience with HUD, LIHTC, or other affordable housing programs preferred.
• Valid driver's license with acceptable driving record.
• Reliable transportation to travel between Vintage Housing properties.
• Ability to successfully pass required background screening.

PHYSICAL REQUIREMENTS

• Frequent sitting, standing, and walking.
• Ability to tour apartment communities and vacant units.
• Frequent use of computers and office equipment.
• Ability to lift up to 25 pounds occasionally.
• Ability to travel regularly between multiple housing communities.

WORKING CONDITIONS

This position works in both office and residential community settings and requires regular travel between Vintage Housing locations. Occasional evening or community events may be required.

PHYSICAL REQUIREMENTS: Ability to sit for extended periods while working at a computer.

Frequent use of computers, telephones, and other standard office equipment. Occasionally lift or move up to 25 pounds.
