Office Operations & Administration at Well-Funded AI Robotics Startup

Well-funded, early-stage AI robotics startup is looking for a Head of Office Operations & Administration to support the President & Co-Founder and founding team. This is a rare chance to build an office from the ground up alongside a world-class team of AI and robotics leaders, with real ownership and room to grow as the company scales. In this role, you’ll set up and run a brand-new, premium office, including vendors, facilities, supplies, and furnishings. You’ll also greet visitors, book team travel and offsite dinners, handle reimbursements, and shape the food program, perks, and overall office experience. Someone who is professional, punctual, and detail-oriented, with natural taste and an energetic, personable presence that makes them the heartbeat of the office. A self-starter who loves zero-to-one work and takes full ownership without needing to be managed. This is an in-office role, 5 days/week, based in San Francisco’s SoMA neighborhood. 120-160K DOE + benefits and 401K. Responsibilities: Lead the setup of a new office, including furnishing the space, coordinating logistics, and making sure everything is in place for the team. Own day-to-day office operations, including facilities, maintenance, and keeping the space functioning, organized, and presentable. Source, onboard, and manage vendors such as cleaners, maintenance providers, and food and beverage partners. Keep office supplies, snacks, drinks, and kitchen essentials stocked. Recommend and build out the office food program, perks, and amenities. Greet and host visitors, guests, and candidates, creating a polished, welcoming first impression. Book travel for the team, including domestic and international trips. Make reservations and plan logistics for offsite team dinners and gatherings. Process and manage team expense reimbursements through the company’s expense platform. Support new hire onboarding and help foster a positive, connected team culture as the company grows. Qualifications: Previous experience as an Office Manager, Executive Assistant, or similar operations role, ideally at a venture capital firm or fast-growing AI startup. Experience working on small, high-caliber teams, with comfort operating in an early-stage environment. Highly professional and punctual, with exceptional attention to detail. Strong process discipline and the ability to own a role autonomously and consistently without needing direction or oversight. Self-motivated self-starter who thrives in zero-to-one environments and proactively thinks about what the company and team need. Excellent taste and an eye for presentation, with natural instincts for furniture, food, hospitality, and what a polished office should look and feel like. High energy, warm, and personable, with a natural ability to bring people together and build culture. High integrity and sound judgment.
