Marketing & Operations Associate

This person will be responsible for the following; Assist with execution of property marketing campaigns for all Allied clients. Manage property listings on all sites and collateral Track leads and inquiries to support marketing performance reporting Provide operations and administrative assistance to the marketing teams Keep marketing files and property and contact data organized and up to date Job Responsibilities Property Marketing & Property Listings Prepare marketing collateral, including flyers, brochures, proposals, tour books and presentation materials. Adhere to Allied’s brand standards and make sure all marketing materials follow our guidelines. Create property marketing campaigns, including email blasts, listing announcements, and marketing materials. Coordinate listing launches by preparing required marketing materials, confirming listing details, and ensuring listings are published across marketing platforms. Maintain and update property listings across all listing databases, including CoStar, LoopNet, Catalyst, and other internal systems. Ensure property information and marketing materials remain accurate and up to date across all marketing platforms. Responsible for updating availability information, marketing materials, and property details when listings change. Assist brokers in preparing targeted outreach materials for key contacts, including curated emails, property updates, or client touchpoints that help maintain relationships and generate new opportunities. Track marketing leads and inquiries from campaigns or listing activity in ReThink. Maintain organized records of property marketing materials and listing information in company folders. Photograph properties as needed to support listing launches and marketing materials, and coordinate videography with external vendors when applicable Update and remove property listings across all platforms upon deal close, ensuring all marketing materials and statuses reflect the transaction accurately Assist with Linkedin marketing strategy including creating graphics and content for company and listing posts. Pull contact lists and distribution lists from ReThink and Mailchimp and coordinate with the Senior Operations Manager and Director of Marketing to ensure email campaigns reach the Intended audience. Brokerage Support Prepare listing proposals and RFP responses as needed Pull comparable properties, vacancy rates, and relevant market data on an ad hoc basis to assist advisors in preparing client meetings, pitches, and proposals Assist real estate advisors with preparing client presentation materials, tour packages, and marketing deliverables. Assist with audits of existing listings to track upcoming expirations and renewal dates. Create Tenant stacked floorplates for all property listings. Operations and Administrative Responsibilities Help keep marketing deliverables organized. Help plan and coordinate client and company events, including logistics and on-site support. Support the marketing team with administrative tasks related to campaigns, events, and communications. Maintain organized marketing folders and shared resources for listings, transactions, and marketing assets. Maintain the integrity of our contact database in ReThink by adding new people, updating details and merging or removing duplicate and outdated records. Assist in organizing documentation and materials related to brokerage activity and internal projects. Complete special projects as requested that promote the overall success of company clients and operations.
