Pay Rate: $24.00 / hour

Position Overview

We are seeking an experienced Budget Specialist to provide direct financial and administrative support to the Financial Manager within an academic and business center. In this role, you will manage day-to-day purchasing, procurement card allocations, travel arrangements, expense reimbursements, vendor management, and routine account reconciliations.

Key Responsibilities

• Procurement & Purchasing: Create and track shopping carts and purchase orders in SAP; process goods receipts and confirm prompt delivery of ordered materials to staff and faculty.
• Travel & Expenses: Make routine travel and hotel arrangements. Process travel reimbursements and non-employee reimbursements in compliance with established organizational policies.
• Card Management: Complete Procurement Card (P-Card) and Travel Card allocations; manage expenses strictly according to departmental guidelines.
• Vendor Management: Set up and onboard new vendors in SAP as needed.
• Account Reconciliation: Assist with monthly account reconciliations, financial tracking, and IT-related finance processing.
• Telecommunications: Track and monitor telecommunications usage and accounts (cell phones, landlines).
• Administrative Support: Assist with other financial and administrative duties as assigned.

Qualifications & Requirements

• Education: Bachelor’s Degree required.
• Experience: 3–5 years of intermediate-level experience in budget administration, purchasing, or financial tracking.
• System Experience: Proficiency with SAP (specifically purchasing, vendor creation, and shopping cart functions) is strongly preferred.
• Skills: Strong attention to detail, proficiency in financial record-keeping, account reconciliation, and travel/p-card processing.
