About the role:

We're looking for an organized, proactive Project Manager to help keep our work moving.

You'll partner closely with Creative, Strategy, Production, and Leadership to manage timelines, coordinate teams, track deliverables, and ensure projects are delivered on time and on budget.

This is an ideal role for someone who loves bringing order to creative work, enjoys solving problems, and is excited to build better systems as we grow.

Responsibilities:

1. Client Partnership & Account Support

• Support day-to-day client communication across assigned accounts
• Participate in status calls, project meetings, and delivery discussions
• Help translate client requests into clear internal workstreams
• Track feedback, approvals, and change requests
• Maintain project documentation and communicate updates to internal teams
• Help ensure a high-quality client experience throughout project delivery

2. Project & Budget Management

• Build and maintain project plans, timelines, and workbacks
• Coordinate resources and track project progress across teams
• Monitor project budgets, timelines, and key milestones
• Manage workflows using modern PM software (Asana, Monday, Notion, Airtable, etc.)
• Utilize AI tools to improve scheduling, documentation, and project coordination
• Help ensure deliverables are completed on time, on budget, and to NewWorld's quality standards

3. Production Ownership

• Coordinate production across campaigns, digital content, events, print, and original media
• Support vendor, freelancer, and production partner coordination
• Assist with pre-production planning, production logistics, and post-production schedules
• Track production timelines, deliverables, and asset management
• Anticipate project risks and escalate issues proactively
• Help ensure all outputs meet NewWorld's creative and brand standards

4. Cross-Functional Integration

• Partner closely with Creative, Strategy, Research, and Production teams
• Maintain alignment across internal stakeholders throughout project delivery
• Coordinate communication between teams and ensure priorities remain clear
• Help improve processes that reduce friction and increase operational efficiency
• Support project planning across multiple concurrent initiatives

5. Vendor, Partner, Talent & Production Ecosystem Management

• Coordinate external vendors, freelancers, and production partners throughout project delivery
• Assist with scopes of work, timelines, contracts, and project documentation
• Help maintain a trusted network of creative and production partners
• Coordinate scheduling and logistics for talent, creators, and collaborators
• Support the management of project management tools and operational systems
• Help identify opportunities to improve workflows through automation and AI-enabled processes
• Track vendor performance, timelines, and deliverables to ensure successful execution
• Evaluate and implement new tools that improve forecasting, scheduling, documentation, communication, and reporting

Preferred qualifications:

Successful candidates will have all of the following:

• 3–5+ years of project management experience
• Agency experience is required
• Experience managing multiple concurrent creative projects
• Strong organizational skills with exceptional attention to detail
• Experience using project management software such as Asana, Monday, Notion, Airtable, or similar platforms
• Excellent written and verbal communication skills
• Comfortable working with cross-functional teams in fast-paced environments
• Ability to proactively identify risks and solve problems
• Experience using AI tools to improve productivity and workflow efficiency
• Collaborative, adaptable, and highly accountable

This contract role is expected to last three months, at 40 hours a week for the contract duration. The expected salary for this position is between $6,250-$8,000 per month and will be commensurate with experience. Though this is a Freelance role, there will be routine meetings and deliverables expected during the course of a traditional workday. NewWorld primarily works East Coast business hours (9am-6pm EST)

Preferred Additional Qualifications:

Few candidates will bring all of these strengths, and none are strictly required; experience in the following areas would be an additional asset:

• Experience working in media, political, nonprofit, labor, or mission-driven sectors
• Experience scaling workflows across multiple simultaneous productions
• Familiarity with audience data integration and performance reporting
• Experience building PM systems from the ground up
• Background in experiential or live production environment
