The Role

We're looking for a friendly, organized Receptionist to be the first point of contact for our clients, real estate agents, and lenders, in person, by phone, and by email. You'll help keep our front office running smoothly, support scheduling for closings and appointments, and provide administrative support to our attorneys and paralegals.

What You'll Do

•    Greet clients and visitors warmly and professionally; manage sign-in and the waiting area for closings and appointments.

•    Answer and route incoming phone calls; take clear, accurate messages for attorneys and staff.

•    Manage the firm's general email inbox, directing inquiries to the right team member.

•    Schedule and coordinate attorney or paralegal meetings; manage conference room calendars.

•    Prepare closing and conference rooms in advance of appointments.

•    Receive, sort, and distribute incoming mail and deliveries; prepare outgoing mail and courier packages.

•    Maintain office supplies and the front office's overall appearance; coordinate with vendors for office needs.

•    Assist with basic administrative tasks: photocopying, scanning, filing, and data entry.

•    Support the closing and paralegal team with light administrative tasks.

What We're Looking For

•    High school diploma or equivalent.

•    Prior experience in a receptionist, front office, or customer service role; law firm or professional office experience a plus.

•    Friendly, professional demeanor with strong verbal and written communication skills.

•    Proficiency with Microsoft Office (Word, Outlook, OneDrive) and standard office equipment (multi-line phone system, copier and scanner).

•    Strong organizational skills and the ability to multitask in a busy front office environment.

•    Reliable, punctual, and comfortable interacting with a wide range of clients and professionals.

Nice to Have

•    Experience in a real estate, title, or law office setting.

•    Familiarity with scheduling and calendar software (Clio a plus).

•    North Carolina notary public commission, or willingness to obtain one.
