Fiscal/Utility Support Assistant

Job Title

Position Information: Business Licensing/B&O Taxes Specific duties include assisting customers with on-line business license registrations; issuing licenses; processing B&O Tax returns and receipting taxes; entering data into applicable systems; and answering a variety of questions related to business licensing and B&O Taxes. Customer Service - Specific duties could include: assisting customers with account set-ups and close-outs; verifying customer information; entering data into applicable systems; and answering a variety of questions related to utility service. Cashiering - Specific duties could include: accepting and processing over-the-counter payments; processing revenue transactions; and entering and verifying daily deposits. Mailroom Services Specific duties could include picking up, distributing and processing incoming and outgoing mail. The candidate selected for this position will be subject to passing a pre-employment criminal background check including fingerprint check.

Essential Job Duties

Prepares, processes, and maintains a variety of records including past due notices, and bills. Back-up Business & Occupations tax records. May performs auditing duties including reconciliation and reviewal of statements. Receives and responds to a variety of complex customer complaints, concerns, and/or other related items including closing accounts, determining which accounts to activate shut-off, and troubleshooting any billing or account concerns. Researches and assembles material on delinquent accounts; implements turn-ons and shut-offs in accordance with established procedures. Issues licenses and license numbers for business needs; monitors and updates database as necessary. Assembles a variety of reports related to departmental activities and/or operations; conducts related administrative research. Prepares and reconciles a variety of documents and reports in assigned area of responsibility such as invoices, vouchers, payments for services and/or supplies, CRM requests, etc. Maintains applicable departmental databases and information. Composes a variety of routine and/or specialized correspondence, reports, documents, applications, forms, memos, and/or other applicable materials; and verifies and edits grammatical composition. Performs various routine clerical duties, utilizing standard office equipment, to include screening incoming calls; taking and transmitting messages; maintaining calendars; scheduling meetings; making photocopies; performing data entry; faxing documents; keyboarding; and word processing. Computes and collects fees and money from customers; issues receipts to customers; sets up/maintains new accounts; submits documentation to appropriate individuals. Responds to requests for information from the general public and/or other interested parties related to finance; answers routine questions; and directs customers and visitors to appropriate locations. Pick up, process and distribute incoming and outgoing mail daily. Performs other duties as required.

Minimum Qualifications

High School Diploma or equivalent AND at least 1 year of general clerical, customer service, or office support experience. Must pass Level 4 of each of the 3 ACT/Work Keys National Career Readiness Tests (NCRC) through Lower Columbia College (LCC) OR provide passing certificates within the last 5 years OR current employees of the City of Longview must have passed the City of Longview Clerical Exam OR NCRC prior to original hiring. Associate Degree Preferred.
