Job File CoordinatorSERVPRO Team Toft is seeking a highly organized and detail-oriented Job File Coordinator to support our restoration operations and office teams. This role is responsible for managing project documentation, tracking job progress, coordinating communication between departments, and ensuring all job files are complete, accurate, and compliant from start to finish. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities, and takes pride in keeping projects organized and moving efficiently. Responsibilities include:Monitor active job files daily for accuracy, completeness, and complianceCoordinate with production teams to ensure field documentation is submitted timelyMaintain and update Work-In-Progress (WIP) trackingReview project notes, photos, and supporting documentationCreate or review estimates based on project scope and documentationPerform internal audits of job files prior to submission and invoicingEnsure insurance carrier and client program requirements are metReview timestamps, photos, moisture logs, and supporting documents for quality assuranceCoordinate with accounting for final invoicing and job closeoutCommunicate professionally with customers, insurance representatives, vendors, and team membersAssist operations and office departments as neededQualifications include:High School Diploma or GED requiredPrevious office coordination, administrative, estimating, or insurance experience preferredRestoration, construction, or insurance industry experience is a plusStrong attention to detail and organizational skillsAbility to multitask in a fast-paced environmentExcellent written and verbal communication skillsStrong customer service skillsProficiency in Microsoft Office Suite including Outlook, Word, and ExcelExperience with Xactimate or insurance claims preferredAbility to pass a background checkBenefits available day 1 include:6 Paid HolidaysPTO accrual starting immediatelyAfter 60 days, benefits include:50% Employer-Paid Health Insurance through Blue Cross Blue ShieldOptional Vision, Dental, and Heritage Family/Global Life coverageAfter 6 months, benefits include:401(k) with company match up to 4%Profit SharingAfter 1 year, benefits include:$1,000 Annual Anniversary Bonus each yearCompensation: $22.00 - $26.00 per hour
