Automotive Receptionist & Customer Support Representative (Full-time in-person)

Full-Time Automotive Guest Services Office Assistant – Service Location: Douglas Infiniti, Summit, NJ Department: Service Employment Type: Full-Time, 40 hours a week, working Saturdays 8:00 a.m. to 3:00 p.m. and Monday, Tuesday through Friday (choose one day off) 10:30 a.m. to 7:00 p.m. Reports To: Service Manager / Service Office Supervisor Position Summary Douglas Infiniti is seeking a professional, organized, and customer-focused Guest Services Office Assistant to support the Service Department. This role serves as an important point of contact for service guests and provides administrative and clerical support to ensure smooth daily operations. The ideal candidate will demonstrate strong communication skills, attention to detail, and the ability to manage multiple tasks in a dealership environment. Essential Duties and Responsibilities * Greet and assist service guests professionally and courteously, both in person and by phone. * Answer incoming calls, route inquiries, and provide accurate information regarding service appointments, vehicle status, and general dealership questions. * Schedule, confirm, and update service appointments as needed. * Support service advisors and management with clerical and administrative tasks. * Prepare, organize, and maintain service records, repair orders, and customer documentation. * Input and update customer and vehicle information accurately in dealership systems. * Assist with guest follow-up, including status updates, reminders, and satisfaction-related communication. * Coordinate with the service team to help ensure timely guest support and efficient workflow. * Maintain a clean, organized, and professional front desk and office environment. * Handle sensitive customer information with discretion and confidentiality. * Perform other related duties as assigned. * Call customers after their service appointments at Douglas Infiniti and Douglas Volkswagen to record and report their concerns; these calls will be made in the afternoons. Qualifications * High school diploma or equivalent required; additional administrative, customer service, or dealership experience preferred. * Prior experience in an automotive dealership, service department, or guest-facing office role strongly preferred. * Strong customer service and communication skills. * Excellent organizational skills and attention to detail. * Ability to multitask and remain calm in a busy environment. * Proficiency with computer systems, Microsoft Office, Google docs, and basic data entry. * Professional appearance, demeanor, and phone etiquette. * Ability to work collaboratively with service advisors, technicians, and management. Physical and Work Environment Requirements * Ability to sit and use a computer and telephone for extended periods. * Ability to manage routine office tasks in a dealership service environment. * Must be able to work in a fast-paced setting with frequent guest interaction.
