Position Overview

A growing, multi-location healthcare organization is seeking an experienced Director of Operations to provide hands-on leadership and oversee day-to-day clinical and administrative operations.

The Director of Operations will be responsible for ensuring efficient clinic operations, leading and developing staff, improving workflows, monitoring operational performance, and maintaining a high standard of patient service.

This individual will work closely with physicians, advanced practice providers, clinical teams, Human Resources, billing and revenue cycle teams, and executive leadership to resolve operational challenges and support the continued growth of the organization.

Key Responsibilities

Clinic & Practice Operations

• Oversee daily clinic operations, including staffing coverage, patient flow, scheduling, opening and closing procedures, and overall operational readiness.

• Monitor provider schedules, appointment templates, patient wait times, cancellations, no-shows, and clinic capacity.

• Identify opportunities to improve patient access, productivity, workflow efficiency, and overall clinic performance.

• Coordinate operational needs between front-office staff, medical assistants, referral and authorization teams, billing teams, providers, and external partners.

• Oversee facility needs, office equipment, supplies, vendors, and routine service requirements within established budgets.

• Assist with the implementation and integration of new providers, employees, services, technology, workflows, and clinic locations.

Staff Leadership & Development

• Provide daily leadership, direction, coaching, and support to administrative and clinical support staff.

• Participate in recruiting, interviewing, hiring, onboarding, training, performance management, corrective action, and employee separation processes in partnership with Human Resources.

• Develop and manage staff schedules and ensure appropriate coverage based on patient volume and operational needs.

• Review timekeeping and attendance and proactively address staffing concerns.

• Establish clear expectations and hold team members accountable for performance, professionalism, patient service, and adherence to organizational policies.

• Promote a positive, respectful, collaborative, and results-oriented workplace culture.

Patient Experience & Care Coordination

• Ensure patients receive professional, timely, and accurate assistance throughout the patient experience, from scheduling and check-in through clinical support, check-out, and follow-up.

• Address escalated patient concerns and service-recovery issues professionally and promptly.

• Identify and resolve scheduling barriers and communication breakdowns that may impact patient care.

• Oversee workflows involving referrals, medical records, insurance verification, prior authorizations, procedure scheduling, and follow-up.

• Coordinate with pharmacies, imaging centers, ambulatory surgery centers, laboratories, therapy providers, and other healthcare partners as needed.

Revenue Cycle & Operational Performance

• Partner with billing and leadership to monitor registration accuracy, insurance verification, prior authorizations, patient collections, charge capture, claim-related workflow issues, and accounts receivable trends.

• Identify operational gaps that may delay patient care, billing, or reimbursement.

• Develop solutions and coordinate corrective actions with appropriate departments.

• Monitor operational metrics and use data to identify opportunities to improve efficiency, productivity, and patient access.

Compliance & Quality

• Support compliance with HIPAA, OSHA, infection-prevention requirements, payer requirements, employment policies, and applicable healthcare regulations.

• Maintain appropriate operational documentation, logs, safety procedures, and emergency protocols.

• Ensure the secure handling of protected health information and appropriate access to electronic systems.

• Support internal audits, incident reporting, complaint resolution, corrective action plans, and quality-improvement initiatives.

• Reinforce appropriate responsibilities and scope of practice for non-licensed clinical support staff.

Multi-Site Operational Support

• Partner with executive leadership on organizational priorities, operational initiatives, and special projects.

• Travel to additional clinic locations as needed to provide leadership coverage, assist with staffing challenges, conduct training, troubleshoot operational issues, and implement new processes.

• Evaluate workflows across departments and locations and recommend improvements that increase efficiency, accountability, patient access, and service consistency.

• Develop and maintain standard operating procedures and operational tools to promote consistency throughout the organization.

• Support clinic openings, expansions, transitions, and the integration of new providers, services, technology, and workflows.

• Serve as an operational escalation resource for leadership and staff.

• Other duties as needed

Qualifications

• Minimum 5 years of progressive medical practice management or healthcare operations experience, including direct staff leadership responsibilities.

• Strong knowledge of medical office operations, patient scheduling, insurance verification, referrals, prior authorizations, medical terminology, and revenue cycle workflows.

• Demonstrated experience managing and developing administrative and clinical support teams.

• Strong problem-solving, organizational, and decision-making abilities.

• Ability to manage multiple priorities in a fast-paced, patient-focused healthcare environment.

• Excellent interpersonal and communication skills with the ability to work effectively with physicians, providers, employees, patients, and executive leadership.

• Experience supporting multiple providers and/or multiple clinic locations strongly preferred.

• Experience with quality improvement, healthcare compliance, operational reporting, and credentialing support preferred.

• Experience within pain management, spine care, interventional medicine, procedure-based specialties, or a similar outpatient healthcare environment is highly preferred.

• Must be willing and able to travel between clinic locations based on operational needs.

Education

• Bachelor’s degree in Healthcare Administration, Business Administration, Management, or a related field preferred.

• Candidates without a bachelor's degree may be considered with 10+ years of progressive medical practice management experience.

Location and Work Type

• Work Type: Full-Time Executive Leadership Position.

• Work Setting: On-Site / Multi-Site Operations (Requires travel between regional clinic locations in the Greater Phoenix metro area).

• Schedule: Standard daytime operational hours, Monday through Friday (with flexibility as operational needs arise).
